We are seeking an experienced and collaborative Clinical Manager to lead and support our clinical team while helping ensure the delivery of high-quality, patient-centered care. This role will oversee day-to-day clinical operations, support and develop team members, ensure compliance with clinical standards and regulations, and help drive continuous improvement across our practice. About the Job:
The Clinical Managers play an important role in the day-to-day operations of our clinics: they provide important operational leadership to lead our clinical teams each day in providing high quality and compassionate patient care.
Mission Accountabilities:
1.)Upholds the mission, vision, and core values of Community Smiles Dental by consistently demonstrating inclusivity, professionalism, quality, compassion, and community in all aspects of the roles.
2.) Collaborate with CSD’s Leadership team to build a highly inclusive culture where team members can thrive and represent CSD’s core values to the best of their ability.
3.) Maintains strong and positive working and interpersonal relationships with all employed at Community Smiles Dental including interns, externs and volunteers.
4.)Understands and complies with all employment policies and procedures defined by Community Smiles Dental.
Major Accountabilities:
1.) Collaborates with clinic leadership team to develop and execute operational goals and strategic plan initiatives in the areas of clinics and programs.
2.) Oversees patient care that is community health and public health focused including patient experience, scheduling, waitlists, case management and referrals for patients of the clinic.
3.) Train, supervise, and evaluate clinic staff, including front desk personnel, dental assistants, and hygienists.
4.) Serves as OSHA and HIPAA compliance manager for the clinic and coaches team when necessary to ensure OSHA and HIPAA compliance.
General Responsibilities:
- In the area of leadership:
- Reviews and reports production results and earned revenue to the CSD Leadership Team on a monthly basis.
- Coaches individual clinic staff as needed to ensure earned revenue goals are achieved.
- Partners with the clinic leadership team to organize and lead monthly team meetings.
- Leads individual and team professional development by providing challenging individual assignments and identifying/planning team training opportunities with external experts or partner agencies.
- Partners with human resources to oversee all management functions related to CSD clinical teams such as team culture and recognition, performance assessment, annual reviews, recruiting and onboarding new team members and professional development.
- Partners with finance and operations teams to support the budget creation process and manage expenses against annual operational budget in the areas of payroll, staff recognition and development, dental equipment, dental supplies and materials, information technology, office supplies and equipment.
- In the area of clinic operations and patient care:
- Audits Dentrix to ensure patient scheduling, chart notes, and procedures are completed as intended.
- Works in collaboration with the Director of Dental Services to audit and create systems that ensure all patient records, charts, and all related documentation are maintained current and consistent with best practices in the dental care field as well as within all relevant laws and regulations.
- Collaborates with Director of Dental Services to ensure the organization meets or exceeds all governmental, regulatory and accreditation standards in all areas of day to day operations.
- Leads effective teamwork through communication in the form of daily huddles, one on one meetings, department team meetings and across clinic sites with peer Clinical Managers.
- Manages team scheduling and time off requests for the clinic in collaboration with peer Clinical Managers and Director of Dental Services in accordance with clinic budget guidelines.
- Works in collaboration with the Director of Dental Services to execute CSD’s clinical quality improvement and patient safety initiatives.
- Works with the Programs and Operations Manager to help execute outreach programs and community engagement both within the clinic setting and out in the community.
- Coordinates volunteer onboarding and scheduling for volunteer dentists and hygienists.
- Coordinates onboarding and scheduling for Marquette, MATC and WCTC student learners.
- As needed, based on skillset and professional licensure, provide or assist with direct patient care.
- In the area of compliance and administration:
- Serves as Safety Manager/Safety Incident Lead for the clinic ensuring proper documentation of safety incidents( ie exposure, CPS, accidents etc) and follow up is completed as needed.
- Manages and maintains proper documentation of water quality routines and dental equipment maintenance.
- Maintains up-to-date provider files by gathering license and regulatory training documentation in partnership with HR and Billing Coordinator.
- Coordinates and communicates with any outside vendors needing to visit/service the clinic (equipment repair, cleaning crew) etc.
- All other duties as assigned.
Requirements/Education/ Qualifications
Minimum:
- Ability to understand, demonstrate and support the mission, vision and core values of Community Smiles Dental.
- Completion of a college-level dental assisting or dental hygiene program or bachelor’s degree in dental hygiene, human resources, communication, nonprofit management or related field
- A minimum of three years of dental clinical experience
- A minimum of three years of previous clinical manager, office manager or team leader experience
- Proficient in Dentrix software and/or equivalent dental electronic health software
- A minimum one years experience using Google Suite or Microsoft Office
Preferred:
- A minimum of one year experience in a related, community-based or nonprofit clinical manager role
