Job summary

Mercury One, Inc. seeks a Volunteer Coordinator to manage the volunteer database and support events, programs, and operations across the organization. You will oversee scheduling, onboarding, and communications with volunteers and external partners.

You will also administer the AJETC store and event spaces, develop training materials, and ensure accurate data management within GetConnected. The role offers flexible remote options and a collaborative team environment.

Qualifications

  • Bachelor’s degree and 2 years professional non-profit experience preferred.
  • Proven strong organizational and analytical skills.
  • Excellent communication and ability to manage multiple projects.

Responsibilities

  • Administer volunteer acquisition, interviews, onboarding, and scheduling.
  • Manage GetConnected volunteer data, assess features and storage needs.
  • Coordinate EDU Docent Training program materials and schedules.
  • Oversee external AJETC partnerships and maintain communications.
  • Administer AJE/M1 gift shop sales, restocking, and product development.
  • Organize AJETC facilities storage and warming kitchen.
  • Develop event space pricing policies and standard answer forms.
  • Submit reports on volunteer hours and gift shop sales.
  • Represent AJE at external events and support EDU initiatives.
  • Conduct museum tours when primary guides are unavailable.

Oversee planning and booking for external AJETC events, and provide administrative oversight for the AJE/M1 store, AJETC event space, and assist in the execution of AJE programmatic offerings.

Essential Functions
  • Act as the principal administrator for all matters relating to volunteer acquisition, interviews, on-boarding, and scheduling.
  • Act as the principal administrator for GetConnected, maintaining accuracy and excellence in volunteer personnel data, assessing for underutilized features of the software, and conducting periodic assessments for process and personnel data storage enhancements.
  • Act as the principal administrator for the EDU Docent Training program, developing training materials, schedules, and milestones in conjunction with the EDU Manager.
  • Act as the principal administrator over external organizations looking to utilize the AJETC and maintain on-going communications with these agents as needed.
  • Act as the principal administrator of AJE/M1 gift shop sales, restocking, and product development.
  • Primarily responsible for the organization, maintenance, and optimization of the AJETC facilities storage and warming kitchen.
  • Develop and maintain comprehensive policies outlining event space pricing, available materials, and personnel support offerings; create standardized event forms and form letter emails to ensure continuity of communications; and submit all new and amended materials to the EDU Manager for periodic review and approval.
  • Submit periodic reports to the EDU Manager on volunteer acquisition, training, scheduling, total hours volunteered, and gift shop sales.
  • Represent AJE as an ambassador at external events, and if needed, deliver mainstage presentations, oversee event booths, and travel to support EDU initiatives.
  • Periodically conduct guided tours of the museum when the principal tour guide(s) are unavailable.

Required Education And Experience
  • Bachelor’s Degree, with 2 years professional experience; experience with non-profits a plus
  • Desire to learn and take on various types of responsibilities
  • A self-motivator, eager to learn and grow, a fast learner
  • Strong organizational and analytical skills
  • Proficient in Excel, Word, Power Point presentations
  • A team player, must be able to work with people in all departments
  • Excellent communication skills – verbal, written, and presentation
  • Ability to manage multiple projects simultaneously
  • Willing to work overtime when necessary
