POSITION TITLE: Member Publications Coordinator (Editorial Assistant)

REPORTS TO: Manager, Member Publications (Editor)

DEPARTMENT: Communications

CLASSIFICATION: Non-Exempt (Hourly)

POSITION SUMMARY:

We are seeking a highly organized, editorially focused professional to provide operational support for our growing publications team. The Member Publications Coordinator (Editorial Assistant) supports the successful production of a monthly journal by performing a range of editorial, production, administrative and communications tasks. This position plays a key role in coordinating editorial workflows, facilitating the peer-review process, formatting content for publication and serving as the first point of contact for publication-related inquiries.

ESSENTIAL DUTIES AND RESPONSIBILITIES: Duties include but are not limited to:

  • Write and contribute short-form content including product descriptions, event listings, industry news and member news articles
  • Research relevant sources for content development (industry news, member news, products, events)
  • Copyedit and fact-check articles and short-form content to ensure accuracy, clarity and style consistency
  • Format and prepare content for publication using Adobe InDesign; assist with layout, proofreading and galley preparation
  • Conduct initial evaluations of submissions to assess suitability for publication, providing recommendations to the assistant editor for further review
  • Manage and track manuscript submissions through the editorial process using Trello and other tools
  • Coordinate peer-review evaluation process, compiling reviewer feedback, tracking evaluation scores and preparing decision correspondence
  • Support the editor in managing volunteer editorial review board, including communicating deadlines, tracking evaluations and preparing materials for semiannual meetings (e.g., agendas, minutes, presentation slides)
  • Serve as the first point of contact for publication-related inquiries, by monitoring and managing the publication email inbox, screening, responding to and forwarding messages and submissions from members, authors, reviewers, staff and others
  • Manage distribution of complimentary digital and print author copies, including coordinating mailing/shipping (requires working on-site monthly)
  • Provide administrative support for editorial operations, including coordinating annual article awards, managing complimentary subscriptions, filing copyrights, overseeing journal binding and other tasks

REQUIRED KNOWLEDGE/SKILLS/ABILITIES:

  • Strong writing, editing and research skills
  • Familiarity with editorial style guides (e.g., APA, Chicago Manual of Style)
  • Basic understanding of copyright practices
  • Comfortable with basic page layout and publication design tasks (prior design experience and familiarity with Adobe Creative Suite a plus)
  • Experience using editorial or project management platforms (e.g., Trello or similar tools)
  • Proficient with Microsoft suite, including Word, Excel, Outlook and Teams
  • Exceptional organizational skills and attention to detail
  • Ability to manage multiple tasks/deadlines simultaneously and adjust to changing priorities
  • Excellent written and verbal communication skills
  • Strong interpersonal and communication skills
  • Ability to work independently while collaborating effectively with remote teams
  • Proven self-starter with the ability to take ownership of assigned tasks
  • Proven ability to follow instructions accurately and seek clarification to ensure understanding

  • Full-time position with the ability to work M-F during normal business hours. May be expected to occasionally work outside of normal business hours.

REQUIRED EDUCATION AND EXPERIENCE:

  • Bachelor’s degree in English, journalism, communications or related field
  • 2+ years of experience in editorial, publishing or communications support role. Association experience preferred.

COMPENSATION:

Actual compensation within the range will be dependent upon the individual's skills, experience, qualifications and location. We target most new hire offers between the minimum up to the middle of the range.
