Job summary

Hamilton Health Center is seeking a Medline Coordinator for our Harrisburg, PA outpatient clinic. You will manage the medication refill process to ensure timely coordination between patients, providers, and pharmacies and maintain accurate EMR documentation.

You will support patient access to medications through clear communication, adherence to protocols, and efficient workflow in a high-volume setting. Prior medical office experience is preferred.

Qualifications

• High school diploma or equivalent.
• Completion of an accredited Medical Assistant program.
• Proficiency in basic computer and data entry skills.
• Strong communication and customer service skills.
• Ability to work collaboratively in a team-based environment.

Responsibilities

• Respond to patient and pharmacy inquiries regarding medication refills
• Investigate and track the status of refill requests
• Educate patients on medication refill policies and procedures
• Document refill requests and patient interactions accurately in the EMR
• Retrieve and process refill requests from phone messages and fax communications
• Present refill requests to providers for timely review and approval
• Communicate approved or denied refill requests to patients and pharmacies
• Process and document prior authorizations as directed by providers
• Maintain compliance with medication refill workflows and documentation standards
• Support overall clinic workflow and collaborate with clinical teams
• Maintain patient confidentiality and adhere to HIPAA guidelines
• Suggest process improvements to enhance efficiency, productivity, and quality of service
• Participate in training, meetings, and ongoing professional development
• Perform additional duties as assigned within scope of practice

Job Summary

The Medline Coordinator is responsible for managing the medication refill process to ensure timely, accurate coordination between patients, providers, and pharmacies. This role supports continuity of care by tracking refill requests, facilitating provider review, and maintaining accurate documentation within the Electronic Medical Record (EMR). The Medline Coordinator plays a critical role in patient access to medications by ensuring efficient workflow, clear communication, and adherence to clinical protocols within a high-volume outpatient setting.

Minimum Education/Certifications

Required

• High school diploma or equivalent
• Completion of an accredited Medical Assistant program
• Proficiency in basic computer and data entry skills
• Strong communication and customer service skills
• Ability to work collaboratively in a team-based environment

Preferred

• Prior CPR/First Aid certification
• At least one (1) year of experience in a medical or physician office setting
• Familiarity with Electronic Medical Records (EMR)
• Knowledge of Joint Commission standards
• Bilingual (Spanish, Nepali, French, or Arabic preferred)
