Job summary

The Neurology Center in Carlsbad, CA is seeking an experienced Medical Scheduler to join our busy outpatient neurology practice. You will manage scheduling across multiple providers, verify insurance, and maintain accurate EMR records while delivering outstanding customer service.

Ideal candidates have 1+ year in medical scheduling, familiarity with HIPAA, and strong communication. Epic experience preferred.

Qualifications

• Medical scheduling experience.
• Experience with electronic medical records (Epic preferred).
• Knowledge of medical terminology.
• Excellent communication and phone etiquette.
• Strong organizational skills and attention to detail.
• Ability to multitask in a high-volume medical office.
• Understanding insurance processes (HMO, PPO, Medicare, Medicare Advantage).

Responsibilities

• Schedule new and follow-up appointments for multiple neurology providers.
• Review referrals and schedule patients according to diagnosis and provider preferences.
• Verify HMO, PPO, Medicare, Medicare Advantage, and commercial insurance eligibility.
• Understand medical groups, IPA requirements, referrals, and authorizations.
• Identify when authorizations are required and ensure all required documentation has been received prior to scheduling.
• Communicate professionally with patients, referring providers, insurance companies, and internal staff.
• Maintain accurate patient demographics and insurance information in the EMR.
• Answer a high volume of inbound and outbound calls while providing exceptional customer service.
• Reschedule appointments, manage waitlists, and fill cancellations when appropriate.
• Follow HIPAA guidelines and maintain patient confidentiality.
