Job summary

Brightli is seeking a Medical Record Specialist to acquire medical records from hospitals and providers, manage communications for the HIM department, and ensure accurate documentation in the client’s EHR. The role supports back-fill for HIM needs and requires strong organization and attention to detail.

The position emphasizes HIPAA compliance, data quality, and cross-functional collaboration across internal departments to maintain timely, secure access to patient information.

Qualifications

  • High School diploma or equivalent required.
  • 2 years of experience in medical records management or related area preferred.

Responsibilities

  • Prompt, compliant, consistent delivery and retrieval of release of medical records.
  • Respond to verbal and written requests for information within required turnaround times.
  • Manage multiple email groups and coordinate with HIM staff and providers.
  • Update and review medical records for accuracy and completeness.
  • Maintain HIPAA and PHI confidentiality and comply with policies.

Position Summary

The Medical Record Specialist is responsible for acquiring medical records and treatment information from area hospitals / providers. Monitors and maintains all communication for enterprise Health Information Management (HIM) department including phones, faxes and emails. Daily tasks include but are not limited to; HIM phone bank coverage; daily verification of “Batches” received from clinical sites; monitoring outstanding hospital discharge information; communicating with the System’s clinics to ensure that continuity of care documentation is available in the client’s Electronic Health Record (EHR); supplying back-fill for HIM department needs.

Essential Duties and Responsibilities

Prompt, compliant, consistent, efficient delivery and retrieval of release of medical records. Responds to any and all verbal and written requests for information and documents in required turnaround times. Manages multiple department email distribution groups; CIN – Medical Records Support, Discharge Summary Tracking, Document Imaging. Effectively communicates with all internal and external customers. Collaborates with internal departments and healthcare providers to ensure the accuracy of medical records. Updates and reviews medical records by reviewing information, notifying health care providers of record deficiencies and tracking outside records. Scans, indexes and quality reviews documents not entered into EMR. Assists with working the Hospital Discharge Summary Request Tracking. Follows established System and department policies, procedures, objectives, performance improvement, attendance, safety, including adherence to the workplace Code of Conduct and Compliance Plan. Practices a high level of integrity and honesty in maintaining confidentiality. Maintain Health Insurance Portability & Accountability Act (HIPAA), Federal and State standards regarding insuring proper disclosure of Protected Health Information (PHI).

Knowledge, Skills, and Abilities

Good organizational skills and detail oriented Advanced experience with computers, i.e., data entry, and Microsoft programs. Proficient in medical terminology Comfortable collaborating with all customers Ability to perform under pressure Ability to manage multiple assignments Regular and reliable attendance is required All other duties as assigned by HIM Manager

Supervisory Responsibilities

This position does not have supervisory responsibilities.

Minimum Qualifications

Education High School diploma or equivalent Experience 2 years of experience in medical records management or related area preferred

Physical and Work Environment Requirements

Work is performed in an office, clinical, residential, and/or community-based environment depending on role and assignment. The position may involve routine use of office, clinical, or electronic systems and equipment. Duties may require prolonged periods of sitting, standing, walking, and working at a computer. Work hours may include evenings, weekends, holidays, or extended shifts based on program needs. This position is classified as sedentary work. Sedentary work involves exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently to lift, carry, push, pull, or otherwise move objects.
