Townsen Memorial Imaging is looking for a Medical Receptionist to join our Med Center location!

Medical Receptionist’s duties encompass many tasks such as greeting patients, scheduling appointments, performing clerical duties, and providing medical procedural support. Exhibits professionalism at all times while answering inquiries and providing information to the general public, visitors, patients, and other interested parties regarding activities conducted at the establishment and location of departments, offices, and employees within the organization. Supports medical staff by completing administrative requirements as assigned.

ESSENTIAL FUNCTIONS:

  1. Demonstrates customer service standards (smiles and makes eye contact, greets each patient and visitor, seeks out patient and visitor contact, displays appropriate body language at all times, takes 5 minutes each day to go above and beyond for one patient or visitor, honors diversity and thanks each customer/patient)
  2. Greet patients as they arrive into the facility and provide them with appropriate information
  3. Assist patients to complete all necessary forms and documentation
  4. Ensure completeness and accuracy of patients’ forms and log all demographics in EMR system
  5. Update patients’ information into the database
  6. Move patients through appointments as scheduled. Keep patient appointments on schedule by notifying the provider of patients’ arrival
  7. Respond and comply with requests for information including sending faxes and e-mails
  8. Answer telephone and deal with inquiries
  9. Transfer calls as required
  10. Direct calls and messages to appropriate medical office staff
  11. Maintain patient accounts by obtaining, recording, and updating personal and financial information into e-clinical
  12. Obtain revenue by recording and updating financial information; recording and collecting patient charges
  13. Call patients and remind them of their appointments
  14. Keep patients’ families informed of patient status
  15. Schedule and reschedule patients’ appointments
  16. Update appointment calendars
  17. Create and label appropriate charts for patients
  18. Manage filing and record keeping activities; obtain all necessary documents related to the patient chart as needed
  19. Coordinate mail flow in and out of the office
  20. Maintain stock of forms and office supplies
  21. Ensure reception area is well maintained, neat and clean, including the magazines
  22. Ensure all vendors and visitors are signed in and processed according to facility policy
  23. Perform other related duties as assigned

KNOWLEDGE, SKILLS, AND ABILITIES:

  1. Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures and terminology
  2. Knowledge of computer and relevant software applications
  3. Strong computer skills with proficiency in Microsoft Office, including Outlook, Excel, and Word
  4. Strong attention to detail: being careful about detail and thorough in completing work tasks
  5. Self-control to maintain composure, keeping emotions in check, controlling anger, and avoiding aggressive behavior, even in difficult situations
  6. High stress tolerance: accepting criticism and dealing calmly and effectively with high stress situations
  7. Ability to adapt with flexibility: being open to change (positive or negative) and to considerable variety in the workplace
  8. Ability to work independently by guiding oneself with little or no supervision and depending on oneself to get things done
  9. Ability to maintain effective and organized systems to ensure timely patient flow
  10. Must be able to multi-task while on the job
  11. Must be task-oriented and have organizational skills
  12. Excellent, polished patient interaction skills. Ability to communicate professionally with patients
  13. Exceptional customer service and phone etiquette
  14. Energetic with a desire to learn and develop new skills

EDUCATION AND EXPERIENCE:

  1. High School Diploma or its equivalent
  2. One (1) year of experience in customer service
  3. Basic Life Support (BLS) Certification
