About The Job

Provide administrative support at Marathon Health centers. Responsible for front office including reception and general departmental support. Answer calls and greet visitors, assist with appointments, maintain calendars, create professional correspondence and documents, process mail and packages, maintain supplies, and collect and reconcile payments.

Essential Duties & Responsibilities

  1. Answer incoming calls, validate member status, respond to emails or electronic messages, and refer questions to medical staff as needed. Assist with form completion and refer difficult questions to medical staff.
  2. Greet patients and visitors in person or on the phone.
  3. Schedule appointments to optimize patient satisfaction, provider time, and room utilization.
  4. Notify providers of patient arrivals, review service delivery against schedule, and remind providers of delays.
  5. Answer patient questions, anticipate anxieties, and provide comfort.
  6. Ensure availability and retrieval of patient records for providers.
  7. Maintain patient accounts by updating personal and financial information.
  8. Collect co-pays, reconcile credit card and cash payments, and prepare deposits.
  9. Complete prior authorization paperwork, fax referrals, or perform similar administrative duties.
  10. Keep the front reception area clean and professional, manage office supplies, and coordinate deliveries.
  11. Assist Medical Assistants with Electronic Medical Record data entry and document uploads.
  12. Maintain confidentiality and adhere to HIPAA regulations.
  13. Perform other duties as assigned.

Qualifications

High school diploma or GED required, with 1-3 years of related experience in a medical office or an equivalent combination of education and experience. An associate degree in healthcare is preferred. Proficiency in electronic medical records and Microsoft 365 tools is required.
