Job summary

St. Jude Neighborhood Health Center in Orange, CA is seeking an outstanding Medical Receptionist to join our outpatient clinics.

The role requires bilingual English/Spanish communication and proficiency with EPIC EMR, with duties across patient registration, scheduling, and front-desk operations. The position offers full-time hours from 8:00 am to 5:00 pm, Monday through Saturday, with the unique responsibility of driving the Mobile Unit (RV) at least once per week.

Qualifications

  • High School Graduate or GED.
  • One or more years of experience as a receptionist in outpatient healthcare preferred.
  • Experience with computers and automated scheduling is a plus.
  • Knowledge of medical terminology and healthcare insurance is helpful.

Responsibilities

  • Greet patients and visitors, register demographics and insurance information, and update forms as needed.
  • Review provider schedules and pre-register new patients with packets and history forms.
  • Schedule visits with accurate ICD-10 codes and manage changes, wait lists, and reschedules.
  • Answer phone calls, route messages, and handle prescription refill requests per procedures.
  • Process check-out, review charges, collect copays and payments, and balance cash drawer.
  • Assist with referrals, medical records requests, and scanning documents.

Make an impact. Join our growing outpatient clinics, focused on improving the wellbeing of families. We are seeking an outstanding Medical Receptionist for our health center in Orange.

Bilingual (English/Spanish)

  • St. Jude Neighborhood Health Centers utilizes EPIC for our Electronic Medical Records (EMR) system.
  • Willing to drive and provide administrative support to patients in a mobile medical clinic.
  • Committed to providing high-quality customer service to our patients.
  • Willingness to work as part of a collaborative team that includes, social worker, physicians, nurse practitioners.
  • Daytime work schedule - Full Time - We are open Monday through Saturday from 8:00 am to 5:00 pm.
  • Must be willing to drive the Medical Mobile Unit (RV) at least once a week. Instruction and training will be provided.

Essential Functions (What You Do)
  • Graciously greets patients and visitors promptly and politely to the medical office and obtains all required information to register patient. Ensures/assists patient in completing all forms and routes those forms to the appropriate personnel or department. Inputs registration demographic and insurance information into computer. Reviews current registration information with patient updating information as required. Determines patient insurance eligibility and PCP. Assists patient in selecting a PCP if one has not been selected.
  • Reviews provider schedules in advance to ensure pre-registration of new patients. Assembles and sends new patient with applicable packets, registration packets, and history physical forms prior to scheduled appointments.
  • Schedules patient visits per established procedures and is responsible for inclusion of all required ICD-10 codes for scheduling. Confirms appointments, cancels appointments and notifies clinical staff of appointment changes. Discusses scheduling conflicts or problems with supervisors or clinical staff. Provides schedule updates during the day. Generates Bump/Wait Lists and reschedules patient appointments as needed.
  • Informs clinical personnel when patients have arrived virtually or in clinic, routes patient to appropriate clinical area.
  • Answers incoming telephone calls. Routes calls as appropriate or takes detailed, accurate, legible messages. Communicates with answering service regarding office hours, covering provider, etc. Handles prescription refill requests per established procedures.
  • Checks patient out at end of visit answering any patient questions including simple billing questions. Reviews charge/encounter ticket for completeness and accuracy. Obtains missing information from clinical staff. Arrives, Cancels, and No Shows appointments. Prepares No Show Letters for physician signature.
  • Responsible for collection of outstanding balances as indicated on encounter ticket. Determines total charges for visit and calculates patient financial responsibility per established policies and procedures. Collects required copayments, payments (cash, check, credit card), issues receipts, stamps back of checks and records MRN, makes change, etc., per established procedures. Ensures cash is secure by following established procedures. Balances cash drawer at the end of shift/day. Ensures that billing information and collections are routed to appropriate personnel or department.
  • Assist in verifying and processing patient referrals, as needed.
  • Assist with medical records requests and scanning documents, as needed.
  • Open or close office as shift requires, ensuring that all doors are secured; equipment turned on/off and communicates problems to supervisor in a timely manner.
  • Maintains front office workflows by following policies and procedures, reporting needed changes. Supports team effort by accomplishing related results as needed.
  • Operate/drive mobile clinic at least once a week.
Pay Range:

$23.00 to $24.51 per hour

Paid Time Off:

Requirements
Education:
  • High School Graduate or GED
Experience:
  • One or more years of experience as a receptionist, preferable in an outpatient healthcare setting.
  • Preferred previous experience with computers and/or automated scheduling.
  • Prior experience handling and balancing cash.
Knowledge/Skills/Abilities:
  • Principles of outstanding customer service Operates all general business equipment and assists office with all clerical needs.
  • Knowledge of grammar, spelling, and medical terminology.
  • General knowledge of healthcare insurance and terminology is a plus.
  • Ability to sort and file by alphabet or terminal digit.
  • Ability to handle cash transactions and balance cash drawers.
  • Highly organized with strong time management skills, being able to perform simultaneous tasks and prioritize tasks effectively. Demonstrates the ability to read, write and speak English and Spanish without an interpreter.
  • Demonstrates interpersonal/cultural sensitivity and work with a diverse and often underserved population.
  • Proficiency with EMR systems.
  • Previous experience driving a mobile clinic or RV.
