Job summary

Covenant House New York is seeking a Medical Receptionist to greet patients, schedule and register appointments, verify insurance, and relay information to providers and staff. You will help coordinate referrals, manage reminders, and support the smooth operation of the health center while upholding patient confidentiality.

Ideal candidates will have a high school diploma or GED, basic computer skills, and experience with EHR systems.

Qualifications

  • High school diploma or GED required.
  • Basic computer skills and familiarity with software programs.
  • Experience with EHR systems preferred.
  • One year of experience in a Medical/Surgical clinic environment preferred.

Responsibilities

  • Demonstrates the ability to provide and assure the carrying out the established medical receptionist procedures utilizing department protocols, and assuring the maintenance of a safe clean environment.
  • Recognizes and de-escalates disruptive behavior to maintain a calm waiting room.
  • Performs concise documentation, shift reports and verbal communications while protecting patient confidentiality.
  • Assists in coordinating services with medical staff, nursing staff and other departments; responds rapidly during emergencies.
  • Maintains clinical skills, completes referrals, scans documents into medical records and completes competencies.
  • Assists in orientation of new personnel, volunteers and students.
  • Participates in committees and promotes the health center mission; supports policy implementation.
  • Collects patient satisfaction surveys, compiles monthly reports, manages equipment, and distributes appointment reminders.
  • Monitors provider schedules, prioritizes tasks, and communicates effectively with staff.
  • Maintains confidentiality and adheres to HIPAA regulations.

About the role

The Medical Receptionist is responsible for direct patient contact, including initial greeting, patient appointment scheduling, registration, insurance verification, communicating data to provider & staff, sending referrals, re-calling patients for follow-up appointments. Competent in performing the following functions appropriate to the age of the patient, maintains a safe and clean care environment, quality improvement, assists in the training of the new students and volunteers. Actively and consistently contributes to department operations and communications, behaves in a manner consistent with the mission and objectives of Covenant House and performs other duties as requested.

What you’ll do

(Responsibilities to include but are not limited to the following)

  • Demonstrates the ability to provide and assure the carrying out the established medical receptionist procedures utilizing department protocols, and assuring the maintenance of a safe clean environment. Provides holistic, age appropriate communication demonstrating the ability to assess patient and situation needs.

  • Ability to recognize and de-escalate disruptive behavior. Demonstrates ability to maintain a calm environment in the waiting room.

  • Demonstrates thorough, concise and timely documentation, shift reports and verbal communications. Communicates pertinent patient information and unit information to medical providers, clinic staff, and other appropriate persons while maintaining client confidentiality.

  • Assists in the coordination of services with medical staff, nursing staff, other departments as well as other providers. Responds rapidly and effectively during emergency situations.

  • Maintains own clinical skills staying current in latest computer programs and processes. Completes internal and external referrals and scans documents into medical records. Completes annual competencies.

  • Assists in the orientation of new personnel, volunteers, and students.

  • Serves on committees and attends meetings actively participating. Follows and assists in the implementation of policies and procedures. Participates in community events to promote the mission of the health center.

  • Assists in the collection of patient satisfaction surveys, collating the data for monthly reports. Assists in maintaining equipment. Prepares monthly patient appointment data reports. Receives medication delivery and assures distribution to resident floors daily. Sends appointment reminder lists to staff on resident floors daily.

  • Monitors provider schedules and troubleshoots as needed. Self-motivated and able to make decisions independently keeping all clinic staff and others informed and supporting Covenant House philosophy. Able to prioritize and manage time efficiently.

  • Communicates with others (verbally and in writing) in an appropriate and timely manner, demonstrating tact, sensitivity, and ability to deal with people beyond giving and receiving instructions.

  • Maintains strictest confidentiality; adheres to all HIPPA guidelines/regulations.

  • Understands and abides by CHNY Mission Statement, Five Principles, policies and procedures and is knowledgeable; complies with federal, state, and local laws that govern business practices as well as all accreditation standards that apply to the position.

  • Perform other duties as assigned and needed.

** SUPERVISORY DUTIES**

  • This position does not supervise any other position.

Qualifications

  • High school diploma or GED.
  • Basic computer skills and knowledge of programs.
  • Experience with EHR, ECW, ePaces, ETO preferred
  • One year experience in a Medical/Surgical clinic environment preferred.
