Job summary

Pediatric Associates Family of Companies is seeking a Medical Assistant/Medical Receptionist who will greet patients warmly, collect information, and manage front-desk duties. You will handle check-ins/check-outs, verify insurance, and coordinate follow-ups while maintaining patient confidentiality.

Ideal candidates have at least 1 year in a medical office, solid communication, and computer skills. Some travel between offices and occasional remote/telework may be required, with onboarding

Qualifications

  • Minimum 1 year experience in a medical office setting preferred.
  • Requires a valid driver's license upon hire and throughout employment.
  • Excellent customer service and professional communication with patients and staff.
  • Ability to learn Pediatric Associates procedures, policies, and protocols.
  • Strong computer skills and familiarity with medical terminology.

Responsibilities

  • Check-in patients: update demographics, insurance, PCP, pharmacy; collect co-pays and forms.
  • Check-out: collect balances, provide visit summaries, referrals, portal info, and follow-ups.
  • Verify insurance status and active coverage; contact patients as needed.
  • Post charges/payments and reconcile accounts.
  • Scan and upload documents to the management system.
  • Sort/deliver mail; maintain tidy reception and waiting areas.
  • Participate in staff and educational meetings.

PRIMARY FUNCTION

Serves patients and visitors by greeting them in a friendly and welcoming manner as they arrive at our offices. Completes and updates all required information, collects payments, and provides other information as requested. Discharges patients after their appointment, providing them with any pertinent information as well as follow-up appointments.

ESSENTIAL DUTIES AND RESPONSIBILITIES

This list may not include all the duties that may be assigned.

  1. Check-in patients upon arrival, which includes updating demographics, insurance information, PCP, pharmacy, collecting co-pays and patient balances, and providing consents for signature as well as appropriate health questionnaires.
  2. Check out patients, collect additional balances, provide visit summaries, specialist referral information, patient portal information, completed forms, and follow-up appointments.
  3. Verify patient insurance through Batch Eligibility or on demand. Contact patients whose insurance is not active, or PCP is not appropriate.
  4. Post-patient charges and payments. Complete charge and payment reconciliation.
  5. Scan and upload documents through the Document Management system.
  6. Sort and deliver mail and PA documents received by courier. Maintain a clean work area and patient waiting area.
  7. Participate in staff and educational meetings.
QUALIFICATIONS
EXPERIENCE:
  • A minimum of 1 year experience in a medical office setting preferred.
LICENSURE/CERTIFICATION
  • Upon hire, and for the duration of the employment period, a driver’s license must be active and valid.
KNOWLEDGE, SKILLS, AND ABILITIES
  • Ability to learn & practice Pediatric Associate procedures, policies, and protocols.
  • Requires proficient grammar, spelling, and verbal skills to communicate with patients, providers, and staff in written documents.
  • Ability to read, comprehend, follow oral and written instructions.
  • Knowledge of computer and medical terminology desired.
  • Interact effectively, supportstaff & maintain a professional working relationship.
  • Provide excellent customer service; greet & receive patients/ visitors in a professional and friendly manner.
  • Maintain professional and excellent phone skills & etiquette, must be able to speak clearly and concisely.
  • Use good judgment & maintain patient confidentiality.
  • Must be able to file alpha and numerically.
  • Requires experience in using a computer system, scanner, printer, fax etc.
