Job summary

Penn Psychiatric Center in Phoenixville, PA is seeking an Office Administrator to join our growing outpatient behavioral health practice. This full-time, in-person role focuses on front-office operations, patient experience, and administrative coordination to support practice growth.

As you gain experience, you may supervise front-office operations, mentor staff, and lead workflow improvements while delivering excellent patient care in a fast-paced healthcare environment.

  • Collect co-pays and outstanding balances; coordinate referrals and follow-ups.
  • Maintain accurate patient records in the EMR (eCW experience preferred).
  • Coordinate communication between providers, patients, and leadership.
  • Assist with reports, spreadsheets, and administrative projects.

Patient Experience & Front Office
  • Welcome patients, visitors, and providers with professionalism and compassion.
  • Answer and manage a multi-line telephone system.
  • Schedule appointments and coordinate provider calendars.
  • Verify insurance eligibility and obtain prior authorizations.
  • Collect patient co-payments and outstanding balances.
  • Coordinate referrals and follow-up appointments.
  • Maintain accurate patient records within the electronic medical record (eClinicalWorks experience preferred).
  • Respond promptly and professionally to patient inquiries.
  • Deliver a concierge-level patient experience through exceptional customer service.
Office Administration
  • Coordinate daily office operations and workflow.
  • Maintain an organized, efficient, and professional office environment.
  • Support provider scheduling and administrative coordination.
  • Monitor office supplies and maintain inventory.
  • Assist with reports, spreadsheets, and administrative projects.
  • Coordinate communication between providers, patients, and leadership.
  • Identify workflow improvements and assist with implementing new processes.
  • Support practice growth initiatives and special projects.

  • Experience with insurance verification, benefits investigation, and prior authorizations.
  • Knowledge of medical terminology and healthcare office procedures.
  • Previous experience training, mentoring, or supervising staff.
  • Associate's or Bachelor's degree in Healthcare Administration, Business Administration, or a related field.
  • Demonstrated interest in professional growth and advancement into a healthcare leadership role.
