The Patient Service Specialist performs complex administrative duties including patient registration, scheduling, customer service, and managing multi-line phone systems. This role requires a general knowledge of various systems and procedures. It ensures every patient is treated with quality clinical care and receives a welcoming, respectful experience.

Responsibilities

  1. Greet patients and visitors
  2. Communicate wait times and direct accordingly
  3. Obtain authorization for services as needed
  4. Check in patients using management systems
  5. Explain forms and ensure proper completion
  6. Answer phones and direct calls
  7. Contact patients for appointment reminders, rescheduling, or cancellations
  8. Check out patients and distribute records
  9. File paperwork and records
  10. Maintain inventory of supplies
  11. Manage dissemination of paperwork to outside parties
  12. Follow HIPAA and safety guidelines
  13. Attend staff meetings and participate in training
  14. Process patient referrals and assist in administrative functions
  15. Maintain a neat facility appearance
  16. Use reporting tools for employer results and paperwork
  17. Review transcriptions and enter charges
  18. Perform some medical assistant duties as assigned

Qualifications

Education: High School Diploma or GED

Experience: 6 months to 1 year, knowledge of occupational medicine preferred
