Job summary

Job Summary

The Practice Coordinator is responsible for managing the front office daily activities for the practice location, ensuring quality customer service to in‑person and remote patients and clinicians.

Compensation: $20.00 - $21.00/hour, plus quarterly bonus/incentive potential

Location: 780 E Market Street, Suite 220 West Chester, PA 19382

Duties and Responsibilities
  • Create a positive work environment and support in‑office clinician and staff engagement activities.
  • Conduct the schedule preparation process for all patients to ensure paperwork is complete, credit card information is current, demographics are accurate, and patient charts are prepared.
  • Perform general office duties, including sorting mail, scanning documents, handling e‑faxes, managing shared office email, and maintaining office cleanliness and appeal.
  • Communicate with peers, clinicians, and patients in ways that support patient care and clinician satisfaction.
  • Provide exceptional customer service, responding quickly to patient needs and managing difficult or sensitive situations by following Crisis and De‑escalation Processes.
  • Manage front desk responsibilities, greeting and checking patients in and out courteously.
  • Assist patients with requests via phone, email, and/or portal, including payment/billing questions, scheduling needs, release requests, and miscellaneous inquiries.
  • Manage phone queues, ensuring calls are answered promptly to provide excellent customer service.
  • Assist patients with telehealth access, patient portal issues, and other troubleshooting as needed.
  • Triage urgent patient requests, direct to the correct departments, or elevate for assistance.
  • Collect in‑person and telehealth co‑payments and account balances at the time of service.
  • Complete insurance eligibility verifications and resolve any issues with patients.
  • Provide general clinician support, such as sending letters, faxes, and addressing administrative questions.
  • Coordinate with clinicians regarding additional patient questions and audit schedules for appointment accuracy.
  • Maintain a pleasant, secure, and motivating working environment in the practice.
Required Skills and Abilities
  • Ability to multitask and prioritize duties to support high‑quality patient experience.
  • Ability to work independently and as a team member.
  • Strong written and verbal communication skills.
  • Proficiency with computer software applications (Microsoft Office & EMRs).
  • Comfortable handling of sensitive and confidential information (HIPAA).
Education and Experience

High school diploma or equivalent required; associate’s or bachelor’s degree preferred. One year or more of experience in healthcare operations, customer service, or a similar setting preferred.

Physical Requirements

The job requires the employee to sit, stand, bend, talk, and hear regularly; walk frequently; and lift or move objects up to 25 pounds. Specific vision abilities include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
