The Medical Office Receptionist is responsible for managing the front office daily activities for the practice location, ensuring quality customer service to in‑person and remote patients and clinicians.

Compensation
$19.25-$20.25 per hour, plus quarterly bonus/incentive potential.

Duties & Responsibilities
- Operational Excellence: Create a positive work environment and support in‑office clinician and staff engagement activities to promote culture, engagement, and connection.
- Schedule Preparation: Prepare schedules for all patients, ensuring complete paperwork, current credit cards, accurate demographics, and prepared patient charts.
- General Office Duties: Maintain cleanliness and appearance; sort office mail, scan documents, e‑faxes, manage shared office email, keep office upkeep, and prepare the practice for patients and clinicians.
- Communication: Communicate with peers, clinicians, and patients to support patient care and clinician satisfaction.
- Patient Support: Provide exceptional customer service, respond promptly to patient needs, handle sensitive situations following crisis and de‑escalation processes, greet and check patients in/out, assist with phone/email/portal requests, manage payment/billing queries, and triage urgent requests.
- Revenue Collection: Collect co‑payments and balances at service, verify insurance eligibility, and contact patients to resolve issues.
- Clinician Support: Assist clinicians with administrative tasks, coordinate additional patient questions, audit appointment accuracy, and maintain a pleasant, secure working environment.
Required Skills & Abilities
- Ability to multitask and prioritize duties to support high‑quality patient experience.
- Ability to work independently and as a team member.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office and EMRs.
- Comfortable handling sensitive and confidential information (HIPAA).
Education & Experience
- High school diploma or equivalent required.
- Associate or bachelor’s degree preferred.
- 1+ year of experience in healthcare operations, customer service, or a similar setting preferred.
Physical Requirements
The employee is regularly required to sit, stand, bend, talk, hear, walk, and lift or move objects up to 25 pounds. Specific vision needs include close, distance, color, peripheral, and depth perception, and the ability to adjust focus.
