Job summary

99 Healthcare Management is seeking an experienced Office Manager to oversee daily operations of a busy, physician-led specialty practice across Dallas-area locations. The role emphasizes efficient operations and an exceptional patient experience.

You will lead clinical and administrative staff, manage schedules, onboarding, performance, and collaborate with the billing team to resolve workflow issues, ensuring compliant, smooth front-office and clinical support across locations.

Qualifications

  • Minimum 3 years in medical practice management or supervisory experience.
  • Experience supervising clinical and/or administrative staff.
  • Strong knowledge of medical office operations, scheduling, patient flow, insurance verification, referrals, and authorizations.
  • Experience with EMR systems, preferably eCW.
  • Proficiency with Microsoft Office applications.

Responsibilities

  • Oversee day-to-day operations for a multi-location medical practice.
  • Supervise, coach, and support clinical and administrative staff.
  • Manage staff schedules, timekeeping, attendance, and coverage needs.
  • Coordinate onboarding, training, performance management, and staff development.
  • Set expectations to promote accountability, professionalism and patient service.
  • Address staff performance concerns promptly and professionally.
  • Monitor workflow efficiency and implement process improvements across locations.
  • Oversee front-office and clinical support workflows including patient scheduling, verifications, referrals and authorizations.
  • Ensure front-end processes support timely billing and accuracy of patient data.
  • Partner with billing to resolve operational issues affecting claims and patient balances.
  • Address patient concerns and resolve service-related issues promptly.
  • Collaborate with providers to optimize patient flow and clinic operations.
  • Assist with expense management, purchasing, and vendor coordination.
  • Monitor key operational metrics and drive productivity and access improvements.
  • Facilitate staff meetings and communicate updates and changes.
  • Ensure HIPAA compliance and applicable healthcare regulations.

We are seeking an experienced Office Manager to oversee the daily operations of a busy, physician-led specialty medical practice with multiple locations in the Dallas area. The Office Manager will work closely with providers and staff to ensure consistent day-to-day operations across all locations, maintain high standards of patient service, support effective front-office workflows, and help the practice continue to grow and operate efficiently.

What You'll Do
  • Oversee day-to-day operations for a multi-location medical practice
  • Supervise, coach, and support clinical and administrative staff
  • Manage staff schedules, timekeeping, attendance, and coverage needs
  • Coordinate employee onboarding, training, performance management, and ongoing staff development
  • Set clear expectations and promote accountability, professionalism, teamwork, and excellent patient service
  • Address employee performance concerns and workplace issues promptly and appropriately
  • Monitor workflow efficiency and implement process improvements across office locations
  • Oversee front-office and clinical support workflows, including patient scheduling, insurance verification, referrals, authorizations, and patient communication
  • Ensure practice staff consistently complete front-end processes that support accurate and timely billing, including collection of demographic and insurance information, eligibility verification, authorizations, referrals, and other required documentation
  • Partner with the billing team to identify and resolve operational or front-end workflow issues that may affect claims submission, reimbursement, or patient balances
  • Address patient concerns and resolve service-related issues professionally and promptly
  • Partner with providers and staff to optimize patient flow, scheduling, and overall clinic operations
  • Assist with expense management, purchasing, inventory control, and vendor coordination
  • Monitor key operational metrics and identify opportunities to improve staff productivity, patient access, and practice efficiency
  • Facilitate staff meetings and communicate practice updates, expectations, and process changes
  • Ensure compliance with practice policies, HIPAA requirements, and applicable healthcare regulations
  • Support practice growth initiatives and special projects as needed
What We're Looking For
  • Minimum of 3 years of medical practice management or supervisory experience in a physician practice setting
  • Demonstrated experience directly supervising and developing clinical and/or administrative staff
  • Strong knowledge of medical office operations, scheduling, patient flow, insurance verification, referrals, and authorization processes
  • Working understanding of front-end revenue cycle processes and how office workflows affect billing and reimbursement
  • Experience working in a specialty or multi-provider medical practice preferred
  • Electronic Medical Record (EMR) and practice management system experience required; eClinicalWorks (eCW) experience strongly preferred
  • Proficiency with Microsoft Office applications
  • Excellent leadership, interpersonal, coaching, and conflict-resolution skills
  • Strong organizational skills, attention to detail, and ability to follow through
  • Ability to manage multiple priorities and locations effectively
  • Excellent written and verbal communication skills
  • Strong problem-solving skills and the ability to make sound day-to-day operational decisions
Schedule
  • Monday through Friday
  • Daytime business hours
  • No routine evenings, weekends, holidays, or on-call responsibilities
  • Travel between practice locations within the Dallas area required
