  • Provide runner and courier support to ensure seamless communication and material flow.
  • Welcome and guide patients through clinic experience, creating a positive first impression.
  • Maintain examination and treatment rooms to clinical standards and ensure timely turnover.
  • Manage inventory and equipment stocking to ensure readiness and continuity.
  • Support departmental initiatives and special projects as needed.

Job Description

GENERAL SUMMARY:

As a Medical Office Assistant, you'll be the backbone of our clinical team, working collaboratively under the guidance of leadership to ensure smooth operations and exceptional patient experiences. You'll support our clinical workflow by managing administrative tasks, coordinating patient interactions, and maintaining our clinic environment—making a direct impact on patient care quality and team efficiency.

KEY RESPONSIBILITIES:

  • Manage administrative operations including faxing, filing, sorting, printing, and correspondence to keep our clinic running smoothly
  • Serve as the first point of contact for patient calls, professionally routing inquiries and documenting information in Epic to support clinical decision-making
  • Coordinate patient scheduling and conduct appointment reminders and outreach for preventive care, helping patients stay engaged in their health
  • Provide essential support as a runner and courier, ensuring seamless communication and material flow throughout the clinic
  • Welcome and guide patients through their clinic experience, creating a positive first impression
  • Maintain examination and treatment rooms to clinical standards, including efficient room turnover between patients
  • Manage inventory and equipment stocking to ensure clinical readiness and operational continuity
  • Support additional departmental initiatives and special projects as needed

QUALITY ASSURANCE & COMPLIANCE:

  • Actively participate in departmental quality improvement initiatives to enhance patient care and operational excellence
  • Uphold Henry Ford Health System safety standards and regulatory compliance requirements
  • Contribute to our safety culture through hand-hygiene audits and adherence to best practices
Qualifications

EDUCATION/EXPERIENCE REQUIRED:

  • High school diploma and/or G.E.D. equivalent.
  • Basic computer knowledge and keyboarding skills.
  • Basic medical terminology knowledge preferred.
Additional Information

CERTIFICATIONS/LICENSURES REQUIRED:

  • Must meet or exceed core customer service responsibilities, standards and behaviors as outlined in the HFHS' Customer Service Policy
  • Must practice the customer skills as provided through on-going training and in-services.

PHYSICAL DEMANDS/WORKING CONDITIONS:

Normal office environment with minimal exposure to noise, dust, or extreme temperatures.Works in a patient care setting with possible exposure to communicable diseases. Manual dexterity required to complete performance of duties.Walks, stands, stoops, and may require some heavy lifting of patients and/or equipment.
