Job Purpose and Summary:
The Medical Assistant Supervisor will lead the day-to-day supervision and guidance of the Medical Assistants team. This role offers opportunities to work across multiple clinics, gaining broad experience and exposure to various functions.
Essential Duties and Responsibilities:
- Live and exemplify TOI core values, providing outstanding customer service and promoting a positive experience for patients and staff.
- Monitor Medical Assistant productivity.
- Provide training to staff and new hires.
- Audit charting and assist Clinic Manager with creating protocols.
- Participate in mandatory staff meetings as needed.
- Assist with inventory organization and stocking of exam rooms and labs.
- Promote TOI’s culture of exceptional behavioral standards for customer service.
- Maintain confidentiality and security of all organizational information, including financial and client data.
- Conduct weekly in-person check-ins with team members to gauge morale, provide guidance, and address needs.
- Lead recruitment and hiring processes for new MAs, including conducting interviews and collaborating with the Operations Manager on final decisions.
- Oversee onboarding and training for new hires, developing training materials and ensuring comprehensive understanding of workflows, procedures, and expectations.
- Coordinate with Director of Operations and Operations Manager on maintaining the Policies & Procedures manual.
- Lead coaching sessions, issue corrective actions, and implement performance improvement plans.
- Conduct regular training sessions to update staff on procedural changes, service standards, and communication protocols.
- Serve as a communication link between MAs and leadership, providing updates on performance and challenges.
- Work closely with OCM and MIIPS program leadership to ensure staff engagement and support.
- Supervise MA Supervisors, guiding and mentoring them to meet departmental goals and adhere to policies.
- Participate in quarterly and annual performance evaluations, providing constructive feedback and supporting professional growth.
- Schedule and lead in-service training to reinforce procedures and introduce new protocols.
- Provide hands-on coverage during absences or high patient volumes to ensure continuity of care.
- Conduct regular in-person audits at clinic locations to monitor compliance and patient flow, providing immediate feedback for improvements.
- Travel approximately 25% of working hours between clinic sites to support and engage with staff.
- Support and supervise MAs across multiple locations, ensuring responsibilities are met effectively.
- Provide backup support to the MA team as needed, performing all related tasks when necessary.
Knowledge, Skills, and Abilities:
- Strong communication and interpersonal skills.
Required Experience, Education, and Training:
- High school diploma or GED.
- Medical Assistant Certificate.
Physical Working Requirements:
This role involves prolonged sitting, extensive computer use, and phone interactions. Occasional lifting up to 20 pounds may be required for supplies or equipment. Reasonable accommodations can be made for individuals with disabilities.
