New Oakland Family Centers is seeking a Medical Assistant/Receptionist to support both clinical and administrative functions in FACE to FACE programs. You will interact with consumers and collaborate with multidisciplinary teams to ensure compassionate care and efficient office operations.

The role includes front desk duties, intake support, EMR data entry, payment processing, vital signs collection, telehealth support, and crisis management under nurse supervision.

Qualifications

  • High school diploma or equivalent required.
  • Strong communication and coordination skills, with the ability to work effectively with diverse populations.
  • Proficiency in data entry and electronic medical records (EMR) systems preferred.
  • Ability to work in a fast-paced environment while maintaining professionalism and customer service focus.

Responsibilities

  • Perform front desk duties including answering phones professionally, managing messages, and scheduling appointments.
  • Support intake procedures by ensuring all required documentation is completed and properly filed.
  • Maintain accurate and timely data entry into the EMR system; update consumer information, document encounters, and ensure all records are current.
  • Collect and document consumer payments.
  • Assist with opening and closing office procedures.
  • Obtain vital signs (BP, HR, Wt and Ht) for consumers as directed and document findings appropriately.
  • Facilitate lab-related tasks, including obtaining consents, completing requisition forms, and assisting with urine specimen collection.
  • Support telehealth operations in collaboration with nurses and prescribers.
  • Maintain and inventory first aid kits and medication samples under nurse supervision.
  • Effectively manage crisis situations in accordance with clinic protocol.
  • Maintain professional boundaries, communicate consistently with staff, participate in team meetings, and adapt to a dynamic work environment.
  • Assist with coverage to other NOFC locations, as needed.
  • Accept feedback, pursue professional growth, stay current with training, and perform additional duties as needed to support clinic operations.
  • Perform additional duties as assigned.

Position Details

Schedule: Monday-Friday 8:00 am - 4:30 pm or another full-time equivalent as determined by Director or Supervisor

Reports to: Director of Nursing / Clinical Director / Clinical Supervisor / Regional Nursing Supervisors

Compensation: Hourly Employee; $17-$18/hour. Commensurate with experience.

Position Summary

The Medical Assistant/Receptionist plays a vital dual role, supporting both clinical and administrative functions within the FACE to FACE Partial Hospital and Outpatient Programs. This position involves direct interaction with consumers as well as collaboration with multidisciplinary teams across the organization to ensure efficient, compassionate care and smooth office operations.

Key Responsibilities

Working Conditions
  • Employees are expected to maintain a professional appearance in alignment with the Employee Handbook and be prepared for active engagement with consumers.
  • This role requires extended periods of remaining in a stationary position during HIPAA-compliant communications and requires the ability to perform physical activities such as bending and reaching.   • The workspace must maintain a quiet and professional environment including minimizing noise and distractions to ensure a safe, confidential and supportive atmosphere for consumers in accordance with professional and ethical standards.
  • Proficiency in using computers, phones, and office equipment for documentation and telehealth purposes is necessary. This includes but is not limited to Office 365 and Electronic Medical Record systems.
