Department Summary

The Medical Assistant (MA) position is integrated throughout St. Charles Health System across several counties and specialties including orthopedic services, family care, internal medicine, obstetrics and gynecology, pediatrics, urgent care, cardiology, pulmonology, rheumatology, general surgery, cancer care, behavioral health and sleep medicine. MAs collaborate with physicians and non‑clinical staff to provide comprehensive and compassionate health care.

Position Overview

The Medical Assistant will manage daily patient flow for each physician, using triage skills to gather necessary information and anticipate physicians' needs. This position does not manage other caregivers.

Essential Functions and Duties
  • Escort patients to exam rooms and prepare them for physician assessment.
  • Record and maintain patient medical data in the chart.
  • Assist physicians with answering phone requests from patients and other professionals.
  • Perform a variety of physician‑requested ancillary and surgical patient procedures (excluding IV medication administration).
  • Maintain equipment and instrument supply inventory levels.
  • Support the organization’s vision, mission and values in all respects.
  • Support Lean principles of continuous improvement.
  • Provide and maintain a safe environment for caregivers, patients and guests.
  • Conduct all activities with the highest standards of professionalism and confidentiality, complying with all applicable laws, regulations, policies, and procedures.
  • Deliver customer service and/or patient care in a timely, efficient and accurate manner.
  • Perform additional duties of similar complexity as required or assigned.
Education
  • Required: High school diploma or GED.
  • Preferred: Graduate of an accredited Medical Assistant program.
Licensure, Certification, Registration
  • Required: Current MA Certification from AMT, NCCT, AAMA, NAHP, NHA or licensure as an EMT, LPN, or RN. AHA Basic Life Support for Healthcare Provider certification. Ability to travel to business functions, trainings and all St. Charles Health System worksites.
  • Preferred: Current AAMA certification.
Experience
  • Required: Basic knowledge of ICD‑10, CM/CPT/HCPCS coding conventions, medical practice management information systems, and physician office documentation standards. Must maintain confidentiality and meet HIPAA requirements. Candidates with NHA certification qualifying due to experience may need one (1) year of medical assisting experience.
  • Preferred: Two (2) years of medical assisting experience.
