Job Summary

Full-Time Lead Medical Assistant at our Manahawkin Office. The Lead Medical Assistant provides administrative support to physicians, physician assistants, and medical assistants/LPNs through supervision and staff development to ensure a professional and effective medical operation. Previous healthcare experience and dermatology experience are required.

Schedule: Full time, 30+ hours. Availability Monday through Friday with rotating Saturdays within operating hours of 7:00am – 7:30pm. Open flexibility to help cover in a team environment is needed.

Responsibilities
  • Promote a professional and welcoming atmosphere that enhances the quality of service and care offered to patients and providers.
  • Lead by example, maintain office presence and the highest level of professionalism.
  • Maintain effective and constructive communication with office management to instill company values, vision, and protocols in all colleagues and providers.
  • Have thorough working knowledge of all standard operating procedures and policies that pertain to the clinical department.
  • Have thorough knowledge of all clinical treatments to appropriately care for patients’ needs.
  • Proficient in pre‑care and post‑care treatment instructions.
  • Fully understand provider‑to‑patient flow and anticipate the provider’s next steps to the best of their ability.
  • Assist the physician in medical, cosmetic, allergy, and/or laser procedures.
  • Prep exam rooms for all procedures and properly clean exam rooms after every visit.
  • Assist office management in running the day‑to‑day clinical operations by providing supervision and evaluation of day‑to‑day duties.
  • Ensure all assigned medical assistants/LPNs follow company policies and protocols.
  • Scan all consumables and retail products, maintain inventory, place orders via expense protocol, and execute weekly inventory counts.
  • Maintain an adequate amount of medical supplies and ensure equipment is properly maintained.
  • Assist provider in recording prescribed treatments, medications, lab requisitions, biopsies, cultures, photos, prescriptions, prior authorizations, and consents within established guidelines.
  • Audit consumable tracker and laser logs on a weekly basis.
  • Audit all specimen logbooks and lab trackers for the location’s providers.
  • Ensure all medical forms (written and/or electronic) such as consents, EMR notes, lab results, etc. are organized and submitted accurately and promptly.
  • Work closely with management to execute new protocols and assist with training needs.
  • Collaborate with general, regional, and clinical managers to provide onboarding planning, training, and continued education to all new and current medical support staff.
  • Ensure all refill and prior authorization requests and To‑Do tasks are handled in a timely manner.
  • Assist office management in supervising coverage, stepping in for shifts, and covering gaps during emergencies or PTO.
  • Enforce CLIA, OSHA, and HIPAA regulations and document incidents as required.
  • Cross‑train to assist in covering the front desk during emergencies, as needed.
  • Perform any other duties as assigned by supervisor on an as‑needed basis.
Qualifications

  • Computer savvy and familiar with Microsoft Word, Excel, and Outlook.

  • Open availability to work weekdays and weekends.
