The Medical Assistant / Patient Care Coordinator plays a pivotal dual-threat role within our Redlands care center, responsible for delivering compassionate patient-facing clinical support, smooth administrative workflows, and proactive care-gap identification. In this role, you are the face and first impression of our center, ensuring that patients experience high-touch, whole-person care while our clinical operations run with precision.

The Medical Assistant translates day-to-day administrative and clinical requirements into a warm, organized experience for patients, working hand-in-hand with providers, clinical operations, and care teams. Working closely with practice leadership, providers, and administrative teams, you help make operations an integrated, supportive part of how Blue Zones Health delivers transformative care.

KEY RESPONSIBILITIES

1. Patient Experience & Reception

• Greet and assist patients upon arrival in a professional, warm, and courteous manner, setting a welcoming tone for their visit.
• Manage telephone communications, triage inquiries, and respond promptly to patient messages with empathy and clarity.
• Coordinate scheduling, intake, and registration workflows to ensure a smooth, frictionless patient arrival and check-in process.
• Foster an environment aligned with organizational values, ensuring every member feels valued, heard, and supported.

2. Clinical Support & Patient Preparation

• Escort patients to examination rooms, prepare them for visits, and ensure their comfort throughout their time in the center.
• Accurately obtain, record, and document vital signs, comprehensive medical histories, and health information.
• Review and reconcile medication lists with patients to ensure records are safe and up-to-date.
• Assist providers directly with clinical examinations, minor procedures, and patient positioning.

3. Clinical Procedures & Specimen Management

• Prepare and administer medications and vaccines safely as directed, strictly adhering to applicable laws, regulations, and scope of practice.
• Collect, label, process, and properly prepare laboratory specimens for analysis.
• Identify and flag quality-of-care gaps during intake as directed by providers or clinical protocols.
• Maintain clean, orderly, fully stocked, and compliant examination and clinical spaces.

4. Administrative & Front-Office Operations

• Verify patient insurance eligibility, benefits, and coverage details prior to or at the time of service.
• Process and collect patient co-pays, balances, and payments accurately and professionally.
• Prepare, organize, and manage patient charts and clinical documentation for upcoming daily appointments.
• Maintain administrative records, document communications, and support general facility operations.

5. Inventory & Supply Management

• Monitor, track, and maintain clinical and administrative supply inventory levels to prevent shortages.
• Ensure medical supplies, equipment, and storage areas meet safety, expiration, and regulatory guidelines.
• Coordinate supply restocking and equipment checks with operational leadership.

6. Cross-Functional Collaboration & Quality Integration

• Partner with providers, practice managers, and care teams to ensure timely patient flow and communication.
• Support clinical quality initiatives by highlighting missing preventive care or follow-up items during the intake process.
• Participate in team huddles, staff meetings, and ongoing training opportunities to improve care delivery.
• Perform other clinical, technical, or operational duties as requested by supervisors or medical providers.

Budgeted Compensation: $21.00-$25.00/hour

Requirements

REQUIRED QUALIFICATIONS

• High school diploma or equivalent; completion of an accredited medical assistant program.
• Active Certification as a Medical Assistant (CMA or equivalent recognized credential).
• 3+ years of hands‑on medical assisting experience in an outpatient clinical setting.
• Strong working knowledge of medical terminology, anatomy, and clinical procedures.
• Proficiency using electronic medical record (EMR) systems.
• Strong interpersonal, communication, and de‑escalation skills with a passion for patient advocacy.
• Ability to multitask, prioritize, and thrive in a fast‑paced environment.
• Physical ability to stand for extended periods and lift at least 20 lbs.

PREFERRED QUALIFICATIONS

• Bilingual fluency in Spanish and English.
• Experience working in value‑based care, lifestyle medicine, or integrated health delivery models.
• Familiarity with quality‑of‑care gap closure and preventive care tracking.
