Job summary

Washtenaw Intermediate School District (WISD) is seeking an administrative assistant to support school-based Medicaid activities across Washtenaw County. The role includes preparing monthly reports, processing referrals, and assisting with training and audits.

This is a part-time position (17-18 hours/week) with an hourly rate of $23.60. The successful candidate will demonstrate equity, strong Excel skills, and the ability to work with multiple districts.

Qualifications

  • Associate degree in education/health/business or equivalent preferred.
  • Medicaid billing experience preferred.
  • Experience with school-based records for special education preferred.
  • Experience in end user support preferred.
  • Extensive experience with Microsoft Excel preferred.
  • Experience in database work preferred.

Responsibilities

  • Run monthly reports for prescriptions, referrals, and authorizations.
  • Create monthly CSRs and upload them using the Data Connectivity Tool (DCT).
  • Run monthly Medicaid eligibility process and monthly submission of claims.
  • Track and solve software issues affecting monthly data reporting to the State.
  • Maintain Medicaid Database: updates of staff credentials and quarterly imports/syncs.
  • Assist with Medicaid training at local districts and updating training documents.
  • Assist with County-wide Internal Audit and reports for projects.
  • Maintain regular, predictable attendance and perform other duties as assigned.

SUMMARY:

Provides administrative support for school-based Medicaid activities for Washtenaw Intermediate School District and nine local school districts in Washtenaw County.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Demonstrates a strong commitment to equity, social justice, and inclusion in all practices and position responsibilities.

  • Engages in reflection and ongoing learning and development on critical concepts and terms identified in the Washtenaw ISD Educational Equity Policy including concepts such as cultural proficiency, racial equity, and systemic and structural inequities.
  • Runs monthly reports for prescriptions, referrals, and authorizations; routes required documents to the contracted physician for signature.
  • Creates monthly CSRs and uploads them electronically using the Data Connectivity Tool (DCT).
  • Runs monthly Medicaid eligibility process.
  • Runs monthly submission of claims process.
  • Tracks and problem solves issues surrounding software glitches affecting monthly data reporting to the State.
  • Handles incoming mail: stamps/sorts/uploads into (PSSP) PowerSchool Special Programs, scan and document management system; maintains filing system by District.
  • Manages Medicaid Database: performs monthly updates of staff credentials (licenses/certifications/names); quarterly imports and sync PCG Staff Pool with PSSP Staff Pool Member Security Group.
  • Performs daily checks of (RMTS) Random Moment Time Study Compliance Report to ensure mandatory, prompt responses by LEA/ISD staff given 2-day submission deadline.
  • Reviews the Random Moment Time Study (RMTS) Compliance Report daily. Contacts WISD staff directly regarding incomplete or open moments and connects/coordinates with designated LEA operational contacts to obtain responses from local-District staff. Escalates unresolved matters to PCG or program leadership, as appropriate.
  • Assists with Medicaid training at local districts, WISD or via Zoom for all Direct Service Claiming and Caring for Students Staff Pool. Assists with updating training documents and code changes in PSSP.
  • Assists with County-wide Internal Audit (including, but not limited to, performing random reviews of LEA/ISD staff Service Records, student attendance, IEPs, consents, scripts).
  • Creates reports of audit data for special ed. Directors and supervisors to ensure compliance with District, state and federal requirements.
  • Monitors service documentation and claim-entry activity for all WISD direct service programs, including Personal Care. Contact WISD providers and program staff directly regarding missing or incomplete service records, monthly summaries, plans of care, parent consents, authorizations, and other documentation required for billing.
  • Tracks unresolved documentation and billing issues, provide technical assistance, and elevate recurring or overdue compliance concerns to the appropriate supervisor or program administrator.
  • Runs weekly missing Parent Consent report: Notify LEA secretaries or case managers listed on IEP/IFSP 1-2 days before upcoming IEP/IFSP meeting.
  • Corresponds with Medicaid School Services Program staff at MDHHS and MDE.
  • Researches and prepares reports for projects as assigned.
  • Maintains regular, predictable attendance - required.

  • Associate Degree in the field of education, health, business, or equivalent experience - preferred.

TERMS:
