  • Track steel procurement, fabrication, vessel departure, and delivery schedules.
  • Oversee third‑party inspections and quality control issues.
  • Lead weekly supply chain coordination meetings with suppliers and participate in design coordination.
  • Prepare and distribute meeting minutes; maintain change order logs and material tracking matrices.

Position Scope & Organizational Impact

Moss’s Mechanical Procurement Coordinator is responsible for the implementation of Moss’s procurement strategy with the goals of ensuring availability of project materials, decreasing material lead times to site, and decreasing material costs. This position reports directly to the Procurement Manager and works closely with other Operations key staff.

Essential Job Duties & Responsibilities
CROSS-FUNCTIONAL SUPPORT
  • Manage internal departments to ensure key contractual milestones are achieved and procurement schedules are met.
  • Manage internal departments to ensure key design deliverable dates are achieved to support procurement deadlines.
  • Report inbound truck schedules to project teams.
  • Train project teams on packing slip review and data entry requirements.
  • Communicate material storage requirements to project teams.
  • Coordinate with superintendents on project status and delivery needs.
  • Support project teams in managing commissioning activities.
REPORTING & SYSTEMS
  • Track steel procurement to ensure timely completion in support of fabrication schedules.
  • Track material fabrication to ensure correct quantities are produced to meet delivery schedules.
  • Track fabrication progress to support vessel departure and arrival timelines.
  • Manage third‑party inspections and track quality control issues.
  • Track vessel departure dates to ensure alignment with delivery schedules.
  • Track and report vessel status during ocean transit.
  • Monitor and report port congestion.
  • Monitor and report vessel discharge and transloading status.
  • Oversee delivery schedules, including inbound trucks by quantity and material type.
  • Issue weekly reports including fabrication status, vessel status, truck quantities delivered and quantities shipped.
DOCUMENTATION & COMPLIANCE
  • Capture and distribute meeting minutes to ensure accountability.
  • Coordinate with suppliers to ensure proper paperwork is provided with outbound trucks.
  • Build material tracking matrices for onsite receiving.
  • Track and maintain change order logs.
VENDOR & SUBCONTRACTOR COORDINATION
  • Establish and lead weekly supply chain coordination meetings with suppliers.
  • Manage suppliers to ensure timely release of bills of material to begin fabrication in accordance with the procurement schedule.
  • Participate in design coordination meetings.
  • Coordinate with suppliers to ensure materials are packaged using industry best practices.
  • Coordinate with suppliers to ensure proper quantities and material types are loaded onto vessels.
  • Coordinate with suppliers to draft outbound delivery plans for breakbulk vessels.
  • Coordinate with suppliers to ensure material deliveries align with construction sequencing.
  • Coordinate with suppliers to ensure adequate trucks are booked to meet delivery schedules.
  • Manage and facilitate contract related items.
  • Perform other related duties as assigned.
  • Travel is required.
Education & Work Experience
  • College Degree or Supply Chain Certifications.
  • Minimum 1–2 years industry experience in Supply Chain.
  • Experience in solar industry preferred.
  • Fluent in Microsoft Office products.
  • Proficiency with Procore, Smartsheets, and similar platforms.
  • Excellent written and verbal communications skills, including ability to write clear and detailed technical reports, presentations, and emails.
  • Must be comfortable with the technical aspects of the job as well as business and client interactions and negotiations.
  • Familiar with construction and supply contracts as well as understanding of budgets and financial models.
  • Able to establish and maintain good relations with clients and suppliers.
