The Mission of Fort Bend Seniors Meals on Wheels is to enrich the lives of seniors through nutritious meals and human connection.

Position Summary

The Meals on Wheels Operations Coordinator oversees the daily administrative, operational, and logistical activities of the Home Delivered Meals Program for Fort Bend Seniors Meals on Wheels. This position is central to accurate, on‑time meal delivery for homebound seniors in Fort Bend and Waller Counties. The role works closely with the Field Operations Manager, Volunteer Engagement Coordinator, Client Care Department, staff drivers, and Intake Department to ensure meals are delivered accurately, efficiently, and on schedule. All work is performed with the agency's mission in mind.

Essential Duties and Responsibilities
Program Operations and Compliance
  • Coordinate the daily operations of the Meals on Wheels Home Delivered Meals Program in accordance with agency policies and procedures.
  • Support program growth, improvement, and development initiatives.
  • Maintain required program information for funding sources.
Route and Fleet Management
  • Closely monitor and maintain home delivered meal route assignments for accuracy.
  • Optimize routes regularly to support efficient and timely meal delivery.
  • Ensure accuracy of information entered and maintained in ServTracker/CXM, Azuga Fleet Tracking System, and other organization databases.
  • Manage fleet inventory and coordinate routine maintenance needs with the appropriate staff.
Data Tracking and Reporting
  • Prepare weekly and monthly reports, including sign‑in sheets, Sorry We Missed You slips, route audits, driver/volunteer tracking, and monthly fleet mileage reports.
  • Track and maintain program data, reports, supplies, and required documentation.
  • Coordinate special delivery projects, including seasonal shelf stable meal distributions, Secret Santa, and other agency initiatives.
  • Order office and program supplies as needed.
  • Coordinate the monthly mailout to Meals on Wheels program participants.
Communication and Team Support
  • Communicate effectively with Case Managers, office staff, staff drivers, and program participants.
  • Monitor volunteer and staff driver availability and assist with scheduling and route coverage.
  • Assist with the coordination and logistics of Home Delivered Meals during severe weather or other emergency situations.
  • Cover duties for the Volunteer Engagement Coordinator when out or on vacation.
  • Participate in weekly Operations Team meetings to review routes, volunteer availability, staff driver schedules, and operational needs.
  • Maintain the Volunteer Handbook and update as needed.
  • Perform other duties as assigned.
Qualifications
Education

High school diploma or equivalent required. Some college coursework in business, social work, or a related field preferred.

Experience
  • Minimum of five years of administrative, logistical, or operations experience.
  • Prior experience working in nonprofit operations, volunteer coordination, transportation/logistics, or a related field preferred.
Required Skills

Microsoft Excel — Required

Proficiency in Microsoft Excel is a non‑negotiable requirement for this position. Excel is used regularly to manage route assignments, track volunteer hours, maintain program data and prepare reports. Candidates must demonstrate hands‑on Excel experience, which will be assessed during the interview process.

  • Excellent interpersonal skills and the ability to work effectively with volunteers, staff, program participants, and community partners.
  • Self‑motivated, creative, and flexible.
  • Solid organizational skills with attention to detail, accuracy, and follow‑through.
  • Ability to perform tasks with minimal supervision while functioning effectively as part of a team.
  • Strong written and verbal communication skills.
  • Proficient in the Microsoft Office Suite.
  • Ability to learn and become proficient in ServTracker/CXM and other agency software systems.
  • Strong problem solving and decision‑making skills.
  • Commitment to providing excellent customer service to internal and external stakeholders.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
Additional Requirements
  • Valid Texas Driver’s License and excellent driving record.
  • CPR and First Aid certification required.
  • Food Handler’s Certification required.
Physical Demands

While performing the duties of this position, the employee is frequently required to stand, walk, sit, and use hands and fingers to operate equipment. The employee must occasionally lift and/or move up to 40 pounds. Reasonable accommodation will be made for individuals with disabilities.

Work Environment and Equipment

Primary Location: Fort Bend Seniors Administrative Office, Rosenberg, TX. Work may occasionally occur at other agency locations, senior centers, and delivery sites, and public venues.

Equipment Used: Laptop computer with multiple monitors, telephone, internet, printer, multi‑function copier, postage machine, fleet tracking systems, and other standard office equipment.
