Job description

Position Title: Admissions Evaluator

Home Department: School of Medicine > Office of Health Sciences Education > Office of Enrollment Services

Position Summary:

The position of Admissions Evaluator is part of the Office of Enrollment Service (OES) with the Office of Health Sciences Education (OHSE) at Vanderbilt University School of Medicine (VUSM) and is designed to support the Admissions Team through the review of applications to VUSM for the M.D. program. The Admissions Evaluator will provide feedback to help select which applications should advance in the admissions process to the Vanderbilt University School of Medicine. Admission Evaluators will carefully and holistically evaluate applications and are expected to process no less than 6 files per hour.Extensive training will be provided to the Admissions Evaluator, to ensure equity in the process.

This position reports functionally and administratively to the Director of Admissions and with the additional members of the Admissions Leadership Team.

The Admissions Evaluator positions are part-time and seasonally used (up to 20 hours per week) to review applications for approximately seven months (July 1-February 1) based on the volume of applications and departmental needs. Employees will work from home and homes will need to be equipped with high-speed internet, along with having a personal computer that is reliable. Employees will not work when Vanderbilt University is closed.

Key Functions and Expected Performance:

  • Evaluate candidate applications for admission to Vanderbilt University School of Medicine.
    • Evaluate and comment, accurately and in a timely manner, as determined by supervisors, on application information in relation to the entrance requirements.
    • Follow pre-determined file flow to move files through evaluation pipeline.
  • Understand and maintain strict confidentiality of admissions process and application data.
  • Work up to 20 hours per week on average with possibility to have additional hours when needed and approved.
  • Attend all required virtual meetings and trainings throughout the year.
  • Maintain and respond to office communication in a timely fashion.
  • Be able to perform most work functions through extended time on a personally owned computer (logged into Vanderbilt’s VPN and application software).
  • Have access to consistently reliable high-speed internet daily.
  • Understand that a conflict of interest whether potential, real, or perceived between an applicant (potential or current) or institution is prohibited.

Qualifications:

  • A bachelor’s degree from an accredited institution is required.
  • Some experience in higher education, secondary school teaching, admissions, or a health profession is preferred.
  • Strong analytical and evaluation skills.
  • Competence and comfort in working independently on a personally owned PC is necessary, with typical long periods of time focused on computer work.
  • Ability to understand and maintain strict confidentiality of admissions process and application data.
  • Ability to work independently.
  • Ability to communicate and collaborate within a team.
  • Ability to manage time constraints and meet deadlines and reading goals set by management team.
  • Ability to learn and grow from constructive feedback.
  • Knowledge and attestation of Vanderbilt’s Conflict of Interest Policy and the foresight to recuse oneself from the process, due to conflict.
