Summary

The primary purpose of the Materials Management Services Representative position is to provide support of the operations of all sections of Materials Management Services. This position impacts day-to-day operations of assigned areas and departments throughout the institution with respect to inventory and logistics of patient care and research supplies, equipment and service. This position must also comply with all departmental, Q.I., safety, fire, JCAHO guidelines that apply to the Materials Management area.

This position is required to perform housekeeping and maintenance functions not inclusive of those performed Environmental Services or Facilities Services both at the par level area or inventory location. The Representative staff member can be assigned to any operational area within Materials Management Services to include but not limited to PARS/Inventory/Linen/Equipment, Receiving, Asset Control and or Finance. In Summary this position is responsible to assist in maintaining the environment in the department and area services in such a manner as to meet the standards of the hospital and accrediting agencies for purpose of safety, convenience, aesthetics, comfort and maximum utilization of resources.

JOB SPECIFIC COMPETENCIES

Logistics Area - supporting daily operations

Set up pump cart using gray cart, electric cart, or standard delivery cart. Follow corresponding pump tech assignments. Pump assignments are listed on the daily assignment sheet and on the pump floor stock level sheet. Clean and restock pumps on the floors using the Pump Stock Levels List maintaining the par levels listed There will be a green Biomed sticker on every pump. (You need to pull out any pumps that are due for PM.) Remove any pump for PM that is due through the next month and route to Biomed. For example, if the current month is May 2013 pull any pumps due for PM 6/13 or prior. Biomed will accept pumps due 1 month in advance. Check clean stock for pumps due for PM. If you find any IV pumps that are left on the IV poles, please alert charge nurse if pumps are not appropriately prepared for pick-up i.e. (pump still on pole/ not properly bagged for isolation.) All isolation pumps are bagged and tagged with isolation identifying tape by nursing and placed in the dirty utility room. The decontaminated pumps are cleaned the next day at PSPD using the standard cleaning process before being returned to circulation. Remove all modules/PCA/syringe from the PCU using the blue button located on the front of the pump bottom left hand corner. Determine proper storage methods, identification, and stock location based on turnover, environmental factors, and physical capabilities of facilities.

Examine and inspect all Customer Services; Promote customer based understanding of steps necessary to avoid materials handling errors related to, receipt, delivery, outages , damage, expirations, invoice and asset tag exceptions.

Departmental Representative: interacts with OR, Supply Chain Services, patient care and departmental representatives as needed to ensure proper performance of materials handling functions Collaborates with medical and nursing staff to ensure that materials needs are met through direct contact and participation on committees and participation on special projects.

Collaborate with clinical/research/administrative/facilities customers, vendors, MMS leadership and Value Analysis Teams when required to reconfigure processes and/or supplies and equipment sourced, delivered/received and or tagged. Interacts with customers and MMS leadership to identify concerns and effect resolutions and demonstrate ability to provide rapid response to problems and the ability to utilize concentration skills in stressful situations.

Also you are expected to learn and maintain competency in the software applications utilized to support the Materials Management Services operations. Responsible for attending all training within the department and pass the necessary test with a percentage of 80% accuracy which is an Institutional requirement.

Coordinate with Materials Management Services staff, patient care customers and chargemaster the processing of patient charges and any related issues under the guidance of the MMS Manager of Finance. Participate in staff meetings as required by Materials Management Services leadership Participate as required by leadership in the rounding activity measurement for compliance to customer service and quality expectations.

Data management to ensure the appropriate accounting for material resources and their appropriate distribution as required. Maintain records for inventory, acquisition and transfer of materials to ensure proper chain of custody, availability, accounting and accuracy for all incoming/outgoing materials (i.e. disposable/non-disposable materials, supplies and, equipment (i.e. capital, controlled or non-capital). Clerical activities to include processing of receipts, transfers of assets from/to warehouse and other data collection activities as directed via manual or computer entry.

Place approved orders with vendors via computer download of par level inventories. In the event of a system failure, this function may be handled manually. Operate a handheld device for inventory, replenishment, tagging and distribution management and/or signature capture.

Demonstrate competence in accessing information and performing tasks (issues, credits, print out of various reports) from the following software systems: materials management, point of use, patient charge labeling, linen management, package tracking, institutional mail and asset management. Maintain and utilize RFID tagging as required to support DME (durable medical equipment) tracking.

Two years of relevant work experience. With preferred degree, no experience required.

Preferred Experience/Skills

Healthcare materials management experience, equipment, linen, supply chain, excellent customer skills.
