Job summary

Welia Health in Mora, MN seeks a Materials Management Assistant to help maintain stocking levels, expedite purchase orders, and assist with accounts payable.

You will work with department managers and staff, handle stock rotation, PO processing, vendor communications, and support compliance with Joint Commission standards.

Qualifications

  • Experience in materials management andPurchasing functions preferred.
  • Familiarity with accounts payable processes helpful.
  • Ability to follow procedures and maintain records.

Responsibilities

  • Receive, tag, stock, and deliver incoming freight to departments on time.
  • Monitor stock levels and rotate stock; suggest restock needs.
  • Process department requisitions and distribute items promptly.
  • Manage purchase orders, receiving, and issuing for all departments.
  • Coordinate shipping terms and report backorders to departments.
  • Work with vendors on returns for damaged or incorrect items.
  • Document inventory changes and notify departments of additions/deletions.
  • Assist Accounts Payable by resolving invoice issues related to purchases.
  • Demonstrate proficiency with the Materials Management system.
  • Understand safe handling and storage of hazardous materials.
  • Support organizational policies and Joint Commission standards.

SUMMARY

The Materials Management Assistant works with department managers and all other employees tomaintainstocking levels, expedites purchase orders, fill requisitions,assistwith Accounts Payable and other duties as needed in the department

ESSENTIAL DUTIES & RESPONSIBILITIES
  • Receives, checks, tags, stocks and delivers incoming freight to appropriatedepartmentin a timely manner. Investigate,reportand adjust any discrepancies.
  • Monitors and rotates stock and recommends restock levels as needed.
  • Fills department requisitions and delivers ina timelyfashion.
  • Manage purchase order process, receiving and issues for all departments.
  • Coordinates shipping terms and reportsback ordersto departments.
  • Consults and coordinates with the vendor concerning the return of incorrectly shipped, incorrectly ordered, damaged items and backorders.
  • Monitors the receiving and storing ofpurchaseditems for accuracy, review computerrecordsand report non-usable, slowmovingor excess stock.
  • Establish new inventory items and notify all departments and nursing of the addition and deletion of discontinued items.
  • Assist Accounts Payablebyrectifying problem invoices and credits relating topurchaseditems.
  • Demonstrates knowledge of andaccurateuse of the Materials Management computer system.
  • Understands the proper handling and storage of hazardous materials.
  • Supports the policies and procedures of the organization and the standards of the Joint Commission asrequiredfor full accreditation.
EDUCATION and/or EXPERIENCE

One year of experienceis preferred.
