Serving as a central point of coordination across marketing functions, this individual will help translate leadership priorities into actionable plans, maintain visibility into key initiatives, and develop clear, executive-ready communications and reporting.
The ideal candidate is a detail-oriented professional who thrives in a fast-paced environment, anticipates needs, exercises sound judgment, and can confidently navigate competing priorities and complex organizational dynamics.
Key Responsibilities
Executive Priorities & Coordination

  • Partner closely with senior marketing leadership to organize departmental priorities, track key commitments, and coordinate follow-up on critical initiatives.
  • Maintain visibility into leadership requests, upcoming deliverables, deadlines, and cross-functional dependencies.
  • Support preparation for executive meetings, leadership discussions, and strategic planning sessions, including agenda development, pre-read materials, meeting notes, and action-item tracking.
  • Proactively identify potential bottlenecks, competing priorities, and outstanding decisions that require leadership attention.

Marketing Operations & Planning

  • Coordinate recurring marketing leadership meetings, operational reviews, and departmental planning activities.
  • Consolidate updates across Communications, Media, Digital, CRM, and Strategy into clear, actionable summaries for leadership.
  • Develop and maintain centralized trackers, planning documents, and reporting processes to improve organization and accountability.
  • Support the coordination of departmental priorities and initiatives, ensuring owners, deliverables, and timelines are clearly documented.

Executive Communications & Reporting

  • Develop polished presentations, executive summaries, briefing documents, and leadership communications.
  • Gather and synthesize information from cross-functional stakeholders to communicate progress, performance, risks, and upcoming decisions.
  • Translate complex or detailed information into concise, audience-appropriate materials for senior executives and other stakeholders.
  • Support the preparation of materials for executive leadership meetings, business reviews, and strategic planning discussions.

Cross-Functional Coordination

  • Facilitate communication and coordination between marketing leadership and internal partners, including Product, Technology, Finance, and Operations.
  • Track follow-up items, project milestones, and cross-functional dependencies to help initiatives progress efficiently.
Coordinate information requests across teams, ensuring leadership has timely access to relevant updates and materials.
  • Help establish consistent processes for collecting information, managing requests, and communicating decisions.

Qualifications

  • 3–5 years of experience in marketing operations, business operations, project coordination, executive support, or a related field.
  • Exceptional organizational skills with the ability to manage multiple priorities, deadlines, and stakeholders simultaneously.
  • Excellent written communication skills, including experience developing executive-level presentations, summaries, and business communications.
  • Strong proficiency in Microsoft PowerPoint, Excel, Outlook, and collaborative project management tools.
  • Demonstrated ability to synthesize information, identify key takeaways, and communicate complex topics clearly.
  • High emotional intelligence, strong interpersonal skills, and the ability to build relationships across different teams and organizational levels.
  • Exceptional discretion, sound judgment, and comfort working with confidential or sensitive business information.
  • Self-directed, adaptable, and proactive, with the ability to anticipate needs and operate effectively in a dynamic environment.
  • Experience supporting senior leaders or coordinating activities across multiple business functions strongly preferred.
  • Experience in a multi-location, healthcare, veterinary, or private equity-backed environment is a plus.
