Position Summary

The Marketing Project Manager serves as the primary point of contact for internal stakeholders requesting marketing support forprograms,eventsandinitiatives. This role manages project intake,assessingthe scope of the project, prioritization, timelines, approvals, and expectations from theinitialrequest through final delivery and post-project review.

Working closely with theprogram professionalor department lead responsible for each initiative, as well as colleagues across Marketing, Events, Digital Strategy, Creative,andProduction, the Project Manager turns strategy into clear, actionable plans. The role keeps projects organized, stakeholders informed, and deliverables moving forward.

This position ensures marketing projects move efficiently from request through completion by bringing clarity, accountability, and organization to every stage of the process. The Project Manager will also help teams develop practical marketing approaches fornew programs, events, campaigns, and communications initiatives that strengthen Jewish lifein the community.

The ideal candidate thrives in a collaborative, fast-paced environment, is comfortable managing many projects at once, and can adapt quickly as priorities, timelines, and project details change. This role coordinates work across teams but does not directly supervise staff unless otherwise assigned.

Key Responsibilities
Project Intake, Planning & Delivery
  • Serve as the primary point of contact for program leads and the Marketing team.
  • Manage the intake process for all assigned marketing requests, ensuring each project is properly scoped, prioritized, documented, and assigned before work begins.
  • Own the end-to-end project lifecycle for marketing initiatives, from intake and scoping through final delivery and post-project review.
  • Build andmaintaindetailed project plans, timelines, task assignments, approval steps, and dependencies using Basecamp, project calendars, planning worksheets, and other internal tools.
  • Manage multiple simultaneous projects of varying size and complexity, adjusting priorities and resources as organizational needs evolve.
  • Coordinate integrated marketing projects across email, digital, print, social media, website, video, and event channels.
  • Review projects throughout production to ensure timelines, approvals, quality standards, and deliverablesremainon track.
Scope, Priorities & Resources
  • Identifyrisks, bottlenecks, missed deadlines, and changes in scope before they affect delivery.
  • Communicate the impact of requested changes on timelines, priorities, budgets, and team capacity.
  • Work withMarketingDirectorto balance workloads and prioritize projects based on organizational goals, deadlines, and available resources.
  • Escalate conflicts or delays when needed and recommend practical solutions.
  • Track project status, deadlines, workload, and completion rates, and provide regular updates toMarketingteam.
Stakeholder Communication & Collaboration
  • Meet regularly with the program professional or department lead responsible for each initiative to confirm goals, deliverables, deadlines, and next steps.
  • Facilitate project status meetings, prepare agendas, capture decisions, and distribute clear follow-up actions.
  • Communicate project updates, timelines, dependencies, and responsibilities clearly to both Marketing team members and non-marketing stakeholders.
  • Build trusted working relationships across departments and support a culture of transparency, mutual respect, and shared accountability.
  • Collaborate with leadership to align project priorities with broader organizational goals and mission priorities.
  • Useandmaintainproject templates, documentation, and best practices while helping departments follow Marketing processes and project management standards.
  • Support the consistent use of project management systems and ensure project informationremainsaccurateand up to date.
  • Assistteams in developing clear, practical marketing strategies for new initiatives.
  • Useemail platforms such as MailChimp to create,testand send emails.
Required Qualifications
  • 3-5+ years of experience in marketing project management, marketing operations, account management, or a closely related role, ideally within a nonprofit, mission-driven, agency, or complex multi-stakeholder organization.
  • Experience working in a marketing, communications, or agency environment.
  • Demonstratedproficiencywith project management platforms such as Basecamp, Monday.com, or similar tools.
  • Excellent written and verbal communication skills, with the abilityto information andcommunicate clearly with varied audiences.
  • Proven ability to manage a high volume of active projects simultaneously whilemaintainingstrong attention to detail, follow-through, and quality.
  • Strong interpersonal skills and the ability to build trusted relationships across departments and levels of the organization.
  • Highly organized, solutions-focused, and comfortable managing competing priorities in a fast-changing environment.
  • Sound judgment and the confidence toidentifyconcerns, clarify expectations, and recommend practical solutions.
  • Strong working knowledge of Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams.
