RESPONSIBILITIES
  • Lead complex RFP, RFQ, statement of qualifications, interview, and presentation efforts from go/no-go kickoff through final submission, including schedules, assignments, compliance reviews, content strategy, production, and quality control.
  • Partner with Principals, Studio Leaders, and the Director of Business Development to develop pursuit strategy, including differentiators, and content tailored to client priorities.
  • Coordinate proposal workload and deadlines across the marketing team; provide day-to-day guidance, quality review, and mentorship to Proposal + Marketing Coordinators.
  • Create and maintain high-quality marketing materials in Adobe InDesign and related Adobe Creative Cloud applications, including proposals, brochures, presentations, project sheets, resumes, and award submissions.
  • Write, edit, and standardize cover letters, project descriptions, staff qualifications, case studies, interview materials, and other technical or promotional content.
  • Maintain accurate, current marketing information, pursuit records, and track upcoming projects for new business opportunities in Ajera, OneNote, CRM systems, SharePoint, or comparable platforms.
  • Support opportunity research, lead tracking, go/no-go preparation, pursuit debriefs, and follow-up activities in collaboration with firm leadership.
  • Coordinate internal marketing meetings, external events, photographers, media contacts, subconsultants, and other vendors as needed.
  • Attend weekly internal marketing and business development meetings and assist with follow‑ups.
  • Develop compelling “storytelling” content for the website, social media, digital and print publications, presentations, interviews, and awards while maintaining brand standards and a consistent firm voice.
  • Copywriting for quarterly marketing reports and coordination of all other quarterly reports (Design, Operations, Finance)
  • Track marketing budgets, strategic goals, and progress against the Strategic Marketing Plan (prepared by Director of BD); recommend process improvements and support plan updates. Help improve proposal systems, templates, workflows, file organization, and quality‑control practices across the firm.
QUALIFICATIONS
  • 3 or more years of relevant proposal, marketing, or business development experience; AEC or other professional‑services experience strongly preferred.
  • Demonstrated experience leading multiple concurrent, deadline‑driven proposals or pursuits with limited oversight.
  • Advanced proficiency in Adobe InDesign and working proficiency in Illustrator and Photoshop, with strong visual communication and layout skills.
  • Strong writing, editing, proofreading, organization, and project‑management skills, with careful attention to detail and compliance requirements.
  • Proficiency with Microsoft 365 applications, including Word, Excel, PowerPoint, OneNote, and SharePoint; familiarity with Bluebeam Revu, CRM or database platforms, and responsible use of AI‑assisted tools is preferred.
  • Experienced with social media platforms and website content creation, development and maintenance.
  • Ability to collaborate effectively with senior leaders, technical professionals, consultants, vendors, and marketing team members.
  • Ability to prioritize competing deadlines, anticipate needs, communicate risks, and maintain quality in a fast‑paced environment.
