Club Paddock is seeking a highly organized, polished, proactive, and versatile Marketing & Events Coordinator to support our growing calendar of member experiences, private events, marketing initiatives, and day-to-day club operations.
This is a hands-on, high-ownership role at the intersection of events, marketing, hospitality, member experience, and onsite operations. The ideal candidate thrives in a fast-paced environment, communicates professionally, notices the details others miss, and is willing to step in wherever needed to keep the club operating at a consistently high level.
We are looking for someone who is not only responsive, but anticipatory. This person naturally looks ahead, identifies what needs to happen next, solves problems before they become problems, and follows responsibilities through from planning to completion without requiring constant direction.
KEY RESPONSIBILITIES
- Event Planning & Execution: Support Club Paddock member events and private events from planning through follow-up, including timelines, vendor coordination, logistics, guest lists, setup, execution, breakdown, space resets, and post-event details.
- Event Platforms & Registration: Create, maintain, and update event registration pages through the Club Paddock app and Luma, ensuring event information and guest-facing details remain accurate and polished.
- Member Communications: Prepare weekly member emails, announcements, invitations, event reminders, and text communications with a consistent, professional brand voice.
- Marketing & Creative Support: Use Canva to create and edit event graphics, invitations, signage, promotional materials, and other basic marketing assets; support campaigns, social content coordination, and promotional initiatives as needed.
- Scheduling & Organization: Maintain event calendars, schedules, run-of-show details, guest lists, vendor information, and other operational documentation needed to keep teams aligned.
- Club Readiness & Onsite Operations: Help maintain the club as a clean, organized, stocked, welcoming, and presentation-ready environment during regular operations and events.
- Inventory & Stocking: Monitor inventory levels and proactively restock beverages, amenities, event supplies, and operational materials before needs become urgent.
- Hospitality & Member Experience: Deliver exceptional, polished service to members, clients, partners, vendors, and guests while helping ensure every interaction reflects Club Paddock standards.
- Cross-Functional Support: Coordinate with leadership and internal teams to ensure event, marketing, member, and operational priorities move forward smoothly and on time.
- Administrative & Operational Support: Assist leadership with scheduling, organization, documentation, follow-up, and other administrative or operational needs as they arise.
- Problem Solving & Ownership: Identify needs, take initiative without waiting to be asked, troubleshoot challenges in real time, and bring practical solutions forward.
- Versatility: Operate as a hands-on generalist who can move comfortably between events, marketing, hospitality, administration, and club operations based on the needs of the day.
IDEAL CANDIDATE
- Highly organized, detail-oriented, and capable of managing multiple moving priorities at once
- Proactive and anticipatory, with a strong instinct for what needs to happen next
- Dependable, accountable, and comfortable owning responsibilities from start to finish
- An excellent written and verbal communicator with a polished, professional presence
- Strong in hospitality, customer service, and member-facing environments
- Resourceful, solutions-oriented, and willing to figure things out
- A versatile jack of all trades who is comfortable switching between high-level coordination and hands-on operational details
- Coachable, receptive to feedback, and eager to learn and improve
- Collaborative and team-oriented while also able to work independently without constant direction
- Able to think quickly, remain composed, and solve problems in real time
- Comfortable using Canva and basic marketing/design tools
- Comfortable learning and using scheduling platforms, event registration tools, communication systems, and other club technology
- Willing to roll up their sleeves and support setup, breakdown, stocking, organization, and general onsite needs
- Excited by events, experiences, hospitality, marketing, relationship-building, and creating an exceptional member experience
SCHEDULE & WORK ENVIRONMENT
This is a 1099, 100% onsite position at Club Paddock in American Fork, Utah. The role is not structured around a fixed traditional 9-to-5 schedule; weekly hours may shift based on member events, private events, partnerships, club programming, and operational needs. The candidate must be comfortable adjusting their schedule as needed to support the event calendar, including
occasional evenings and weekends. Success in this environment requires flexibility, reliability, and an understanding that hospitality and events often require presence outside standard business hours.
WHAT SUCCESS LOOKS LIKE
Success in this role means Club Paddock events are organized and executed smoothly, members receive timely and polished communication, the club is consistently clean, organized, stocked, and presentation-ready, and leadership can confidently delegate responsibilities knowing they will be handled from start to finish. The right person will become a trusted internal resource who anticipates needs, takes ownership, notices what others miss, communicates clearly, adapts quickly, and gets things done. They will be equally comfortable creating an event invitation in Canva, coordinating with a vendor, preparing member communications, checking inventory, resetting an event space, welcoming a member, or stepping in to solve an unexpected problem. Above all, this person will help ensure every Club Paddock interaction and experience reflects the hospitality, professionalism, presentation, and attention to detail expected from the brand.
