SUMMARY OF POSITION AND RESPONSIBILITY:
The Marketing Coordinator is responsible for coordinating and managing marketing and sales projects from start to finish. This role will support the Multifamily and Single- Family teams by coordinating marketing

materials, product samples, social media, customer-facing events, gallery activities, promotional merchandise, and sales resources. This position serves as a central point of coordination between sales, leadership, suppliers, office administration, designers, architects, purchasing managers, builders, developers, general contractors, and other customers. The coordinator represents the company professionally and ensures that customer-facing materials accurately reflect current products, services, capabilities, and brand standards.

ESSENTIAL FUNCTIONS:
1. Marketing Material Development
  • Create professional marketing materials using Adobe Express, Canva, and other approved programs.
  • Develop and maintain product option catalogs, digital presentations, brochures, flyers, handouts, sample boards, and other customer-facing resources.
  • Create project-specific materials for customer meetings, bid opportunities, product selections, and sales presentations.
  • Confirm that all materials contain accurate product names, door styles, finishes, colors, hardware, cabinet construction options, and countertop selections.
  • Maintain consistent branding across all company divisions and related business entities.
  • Review materials regularly and update or remove discontinued products, outdated photographs, and inaccurate company information.
  • Organize final files so the sales team can quickly locate and distribute the most current versions.
2. Sample Books, Boxes, and Display Materials
  • Coordinate development of sample boxes, sample books, sample boards, and other product presentation materials.
  • Work with suppliers to obtain design options, pricing, minimum quantities, production timelines, and delivery information.
  • Prepare pricing and quantity recommendations for leadership approval before orders are placed.
  • After approval, coordinate order and payment details through the Office Administrator.
  • Review finished sample materials for quality, accuracy, labeling, and consistency before distribution.
  • Maintain records of orders, quantities, costs, delivery dates, and recipients.
3. Social Media Management
  • Create, schedule, and publish content for LinkedIn, Instagram, Facebook, and other approved platforms.
  • Share completed-project photographs, company updates, product information, employee highlights, customer events, trade shows, partnerships, and other relevant content.
  • Develop content that increases awareness of company capabilities, products, completed work, employees, customers, and community involvement.
  • Manage content for all assigned company divisions and related business entities as directed.
  • Verify project and product details before publishing and obtain approval when a post identifies a customer, development, or business partner.
  • Monitor comments, messages, mentions, and engagement; route sales opportunities or customer concerns to the appropriate team member.
  • Maintain a consistent, professional brand voice and track basic engagement to identify high-performing content.
4. Google Business Profile Management
  • Monitor applicable Google Business Profiles for ratings, reviews, questions, and business-information changes.
  • Respond professionally to positive reviews when appropriate.
  • Prepare responses to negative feedback and obtain leadership approval before publishing.
  • Immediately notify leadership of serious complaints, inaccurate claims, or concerns that may affect the company’s reputation.
  • Keep approved photographs, hours, phone numbers, addresses, and service descriptions current.
5. Multifamily and Single-Family Sales Support
  • Provide daily marketing and administrative support to both sales teams.
  • Prepare materials for customer meetings, project presentations, bid opportunities, and follow-up communication.
  • Coordinate sample requests for designers, architects, purchasing managers, builders, developers, and general contractors.
  • Provide current product offerings, catalogs, specification materials, cabinet-door and color photographs, countertop selections, hardware information, and completed-installation images.
  • Confirm that samples and supporting materials match the project type, specification, and customer needs.
  • Track sample requests from initial request through shipment, delivery, or personal drop-off, and confirm receipt when appropriate.
  • Maintain organized digital product resources and identify materials that need to be created, updated, or replaced.
6. Promotional Merchandise and Company Apparel
  • Serve as the primary coordinator for company apparel, field merchandise, customer gifts, promotional items, and event giveaways.
  • Determine merchandise needs, sizes, styles, quantities, intended use, design, colors, and logo placement with sales and field leadership.
  • Obtain supplier pricing, minimum quantities, proofs, production schedules, and shipping information.
  • Prepare order details for leadership approval, then coordinate approved orders and payment through the Office Administrator.
  • Review proofs carefully for spelling, logo placement, colors, sizes, and quantities before production.
  • Track orders through delivery and communicate delays or changes; maintain inventory records when applicable.
  • Coordinate with sales, project managers, field teams, customers, and property contacts to identify completed projects ready for photography.
  • Schedule and travel to staged model units and completed job sites.
  • Capture clean, professional photographs of cabinets, countertops, hardware, installation details, and overall spaces.
  • Confirm spaces are photo-ready and free from visible construction materials, damage, personal information, or unsuitable items.
  • Organize images by project name, customer, location, and completion date.
  • Cross-reference project files to accurately identify cabinet door style, cabinet color, countertop selection, hardware, and other specifications.
  • Maintain a searchable image library for social media, presentations, catalogs, customer references, and other marketing uses.
  • Obtain required permission before photographing or publicly identifying a project, and edit images without misrepresenting product colors or finishes.
8. Website Maintenance Coordination
  • Monitor the website for outdated products, images, services, employee details, company information, and broken or inaccurate content.
  • Coordinate updates when product standards, colors, door styles, countertops, services, locations, or company information change.
  • Send clear, detailed, step-by-step instructions to the website maintenance team, identifying the exact page, section, wording, image, link, or product information to revise.
  • Provide replacement text, photographs, files, and links in an organized format.
  • Review completed website changes for accuracy and maintain a record of requested and completed revisions.
  • Obtain leadership approval for major changes to website messaging, branding, or structure.
  • Coordinate tours of the Dallas Cabinet Gallery, which features framed and frameless cabinet installations for Multifamily and Single-Family applications.
  • Schedule visits for designers, architects, builders, developers, purchasing managers, general contractors, customers, prospects, sales representatives, and leadership.
  • Prepare the gallery before visits by confirming it is clean, organized, staged, and stocked with current samples and marketing materials.
  • Understand the purpose of each visit and prepare the most relevant product information and displays.
  • Assist visitors with product displays, cabinet construction, door styles, finishes, countertops, and available upgrades when appropriate.
  • Plan gallery events, including invitations, attendance lists, refreshments, displays, samples, signage, promotional items, and follow-up materials.
  • Maintain approved access information, including the security gate passcode, gate opener, and visitor-entry procedures; share access only with authorized individuals.
  • Report maintenance, security, display, and product issues and maintain an updated inventory of displayed products and finishes.
10. Cabinet Sample Management
  • Maintain and organize cabinet-door, color, countertop, hardware, and related presentation samples.
  • Inspect samples regularly and ensure they are clean, correctly labeled, current, and suitable for customer presentations.
  • Remove or clearly identify damaged, outdated, discontinued, or incorrect samples.
  • Receive and fulfill sample requests; coordinate shipments, deliveries, and personal drop-offs.
  • Maintain customer and designer sample libraries so they accurately represent the current product line.
  • Track valuable or limited samples and arrange their return when appropriate.
  • Coordinate replacement samples and new-product samples with suppliers and internal teams.
  • Send Run 1 samples for newly launched or awarded projects, confirming accurate labeling, recipient, and delivery.
  • Communicate sample shortages, production delays, or discontinued selections promptly.
11. Expos, Trade Shows, and Industry Events
  • Research, plan, and coordinate expos, trade shows, association events, customer events, and other industry functions.
  • Manage registrations, deadlines, schedules, booth requirements, sponsorship details, shipping instructions, and venue information.
  • Coordinate assigned travel details, including hotels, meeting schedules, event passes, and attendee lists.
  • Determine required samples, displays, catalogs, signage, promotional merchandise, and technology.
  • Coordinate preparation, packing, shipping, delivery, setup, and return of event materials.
  • Attend events when requested to support setup, customer engagement, photography, social media coverage, lead collection, and breakdown.
  • Organize leads, business cards, notes, photographs, and follow-up information; assist with timely post-event communication.
  • Track event expenses and help leadership evaluate attendance, engagement, leads, opportunities, and overall event value.
12. Customer and Internal Coordination
  • Maintain professional communication with customers, suppliers, sales representatives, leadership, office administration, field personnel, and other departments.
  • Coordinate requests from beginning to completion and provide status updates when needed.
  • Keep accurate notes regarding approvals, orders, deadlines, quantities, deliveries, and outstanding items.
  • Follow purchasing and approval procedures before committing to expenses or placing orders.
  • Protect confidential pricing, customer information, project information, access credentials, and internal company records.
  • Prioritize work according to deadlines, customer needs, sales opportunities, and leadership direction.
  • Identify problems early and communicate delays, inaccurate information, or missing approvals promptly.
  • Represent the company professionally during customer visits, job-site visits, events, gallery tours, and supplier interactions.

QUALIFICATIONS (EDUCATION, CERTIFICATIONS, AND/OR TRAINING):
  • Required Education
    • Bachelor’s Degree in Marketing, Business Administration, or related field
  • Preferred Education:
    • Certification in Project Management (PMP)
  • Required Experience:
    • Minimum of 2 years of experience in a marketing coordination, sales support, construction products, building materials, cabinetry, countertops, interior design, or a related industry
    • Experience managing business social media accounts
    • Experience coordinating trade shows, customer events, or showroom activities
    • Experience working with designers, architects, builders, developers, purchasing teams, or general contractors
    • Familiarity with multifamily and/or single family construction industry
    • Valid Driver License and reliable transportation for local travel
  • Preferred Experience:
    • Experience in the cabinetry or interior solutions industry.

WORK ENVIRONMENT:

This role operates in a standard office environment with frequent visits to the production floor and other locations.

PHYSICAL DEMANDS:

This role primarily involves extended periods of sitting at a desk or computer workstation, with regular use of keyboard and mouse for typing and data entry tasks. Visual acuity is required to view computer screens, discern colors, and complete paperwork.
The role also involves occasional lifting of office supplies or materials up to 20 pounds, limited mobility to access filing cabinets and office equipment, and manual dexterity for typing, filing, and handling paperwork.
Hearing and verbal communication abilities are essential for effective interaction in the office environment.
