On The Stage is seeking a highly organized Marketing Campaign Coordinator to execute integrated campaigns that drive demand and pipeline growth. You will manage email and webinar programs, and coordinate with HubSpot and Salesforce to ensure data integrity.

As an early‑career marketer, you’ll learn rapidly, collaborate across teams, and support conferences, paid media coordination, and reporting to continually improve performance.

Qualifications

  • Bachelor's degree in Marketing, Communications, Business, or a related field.
  • 1–3 years of experience in marketing, campaign coordination, demand generation, marketing operations, or a related role.
  • Experience executing email or integrated marketing campaigns.
  • Familiarity with HubSpot or another marketing automation platform.
  • Working knowledge of CRM concepts and the relationship between marketing activity, contacts, accounts, opportunities, and pipeline.
  • Ability to build reports, interpret campaign performance, and communicate findings clearly.
  • Strong project-management and organizational skills, with exceptional attention to detail.
  • Clear written and verbal communication skills.
  • Ability to manage multiple deadlines and collaborate effectively with internal stakeholders and external vendors.
  • A proactive, solutions-oriented mindset and willingness to learn unfamiliar systems.

Responsibilities

  • Email Campaign Execution: Build, test, schedule, and deploy email campaigns in HubSpot.
  • Maintain campaign calendars and coordinate assets and lists.
  • Create and maintain lists, workflows, landing pages, and records.
  • QA across links, personalization, formatting, and tracking.
  • Monitor deliverability, opens, clicks, and conversions.
  • Support segmented, lifecycle, and re-engagement programs.
  • Webinar Campaigns: Coordinate webinar campaigns from setup through follow-up.
  • Build registration pages, emails, attendee lists, and follow-up campaigns.
  • Manage webinar logistics including speakers and recordings.
  • Ensure data flows into HubSpot and Salesforce.
  • Publish recordings and coordinate post-webinar follow-up.
  • Conferences and Trade Shows: Coordinate with associations to secure OTS presence.
  • Manage booth logistics, swag orders, and materials.
  • Generate attendee lists and pre/post-show outreach.
  • Coordinate with Sales and CS on list outreach and travel.
  • Monitor campaigns in HubSpot/Salesforce to report on success.
  • Paid Digital & Vendor Coordination: Serve as day-to-day marketing contact for paid vendor.
  • Coordinate briefs, assets, targeting, landing pages, tracking, approvals.
  • Review pacing and performance with vendor and stakeholders.
  • Assist with organic and paid social campaigns.
  • Reporting & Performance Monitoring: Build and maintain reports and dashboards in HubSpot and Salesforce.
  • Monitor data flow and optimize sync and routing.
  • Track metrics: engaged leads, demo requests, conversions, CPL, registrations, pipeline.
  • Prepare campaign recaps with learnings.
  • Partner with teams to improve visibility from initial engagement to pipeline.
  • Cross-Functional Campaign Coordination: Work with Marketing, Sales, GTM Ops, CS, and external partners.
  • Manage timelines and approvals.
  • Organize assets and maintain records in systems.
  • Communicate status, blockers, next steps.

Job Description

About the Role

On The Stage is looking for a highly organized, detail-oriented Marketing Campaign Coordinator to execute integrated campaigns that generate demand, engage prospects, and contribute to pipeline growth.


This is a hands‑on role for an early‑career marketer who enjoys turning plans into polished, measurable campaigns. You will coordinate email and webinar programs, manage day‑to‑day campaign operations in HubSpot, collaborate with our paid digital advertising agency partner, support social distribution, and monitor performance across HubSpot and Salesforce.


The ideal candidate combines strong project management and communication skills with curiosity about marketing technology and data. You do not need to arrive as an expert in every system, but you should be comfortable learning new platforms, troubleshooting execution issues, and using performance data to improve your work.


What You’ll Do

Email Campaign Execution


  • Build, test, schedule, and deploy prospect and customer email campaigns in HubSpot.

  • Maintain campaign calendars and coordinate copy, creative, audience lists, segmentation, approvals, and launch dates.

  • Create and maintain lists, workflows, forms, landing pages, and campaign records.

  • Perform quality assurance across links, personalization, formatting, suppression logic, tracking, and mobile rendering before launch.

  • Monitor deliverability, opens, clicks, conversions, and downstream lead and pipeline performance.

  • Support segmented, lifecycle, sponsored, and re‑engagement email programs.


Webinar Campaigns


  • Coordinate webinar campaigns from initial setup through post‑event follow‑up.

  • Build registration pages, forms, confirmation and reminder emails, attendee lists, and on‑demand follow‑up campaigns.

  • Manage webinar logistics, including speaker coordination, rehearsals, recordings, and attendee reporting.

  • Ensure registrant and attendee data flows accurately into HubSpot and Salesforce.

  • Publish recordings and coordinate post‑webinar email, social, and sales follow‑up.


Conferences and Trade Shows


  • Coordinate with associations and vendor partners to secure OTS presence at industry events.

  • Manage logistics for attending, such as booth shipping, giveaways swag orders, and printed materials to ensure orderly arrival and sufficient quantities.

  • Receive or generate attendee lists and facilitate pre‑ and post‑ show outreach to help secure meetings on site.

  • Coordinate with Sales and Customer Success team members for list outreach, attendee engagement, pre‑show prep and talking points, and travel logistics.

  • Manage campaign monitoring and tracking in HubSpot and Salesforce to report on success.


Paid Digital & Vendor Coordination


  • Serve as the day‑to‑day marketing contact for OTS's paid digital advertising partner.

  • Coordinate campaign briefs, creative assets, audience inputs, landing pages, tracking requirements, approvals, and launch timelines.

  • Review campaign pacing and performance with the vendor, surface questions or issues, and keep internal stakeholders informed.

  • Assist with organic and paid social campaign execution across major social platforms.


Reporting & Performance Monitoring


  • Build and maintain recurring reports and dashboards in HubSpot and Salesforce.

  • Monitor HubSpot Salesforce data flow and elevate sync, segmentation, routing, or campaign member issues.

  • Track campaign metrics such as engaged leads, demo requests, conversion rates, cost per lead, webinar registrations and attendance, sales opportunities, and marketing influenced pipeline.

  • Monitor progress against campaign goals and flag risks, anomalies, or underperformance early.

  • Prepare clear campaign recaps that explain what happened, what was learned, and what should change next time.

  • Partner with Marketing, Sales, and GTM Operations to improve visibility from initial engagement through pipeline.


Cross‑Functional Campaign Coordination


  • Work closely with Marketing, Sales, GTM Operations, Customer Success, and external partners to keep campaigns moving.

  • Manage multiple timelines, dependencies, and approvals without sacrificing quality.

  • Organize campaign assets and maintain accurate records in OTS's project management and documentation systems.

  • Proactively communicate status, blockers, decisions, and next steps.

Preferred Qualifications


  • Hands‑on experience building emails, lists, forms, landing pages, workflows, campaigns, and reports, preferably in HubSpot

  • Experience planning and coordinating webinars or virtual events.

  • Experience running paid ad campaigns across various networks, or coordinating with an external marketing vendor.

  • Familiarity with UTM parameters, conversion tracking, lead attribution, and campaign taxonomy.

  • Experience in B2B SaaS or related technology company

  • Experience in or passion for live entertainment, theatre, performing arts, and education a huge plus

  • Basic familiarity with Canva or similar creative tools.
