Job summary

Orion is seeking a Marketing Assistant to provide high‑level administrative and operational support to the Chief Marketing Officer and the broader marketing leadership team. This hybrid role blends executive assistant duties with hands‑on coordination across events, communications, content, media, and partner marketing initiatives.

The ideal candidate is detail‑oriented, highly organized, and thrives in a fast‑paced, creative environment.

Qualifications

  • Has a GED or high school diploma as required.
  • Has a Bachelor's degree in Marketing, Communications, Business, or related field as preferred.
  • Has a minimum of one (1) year of professional experience as required.
  • Has a minimum of one (1) year of marketing experience as preferred.
  • Excellent time management and organizational skills.
  • Manages multiple priorities with urgency and accuracy.
  • Has excellent verbal, written, and interpersonal communication skills.
  • Has strong event planning and budget management skills.
  • Coordinates and executes complex meetings and multi‑day team events.
  • Shows high attention to detail, organization, and follow‑through.
  • Is willing to travel up to 5% annually as required.
  • Owns and manages relationships with stakeholders directly and works effectively with people at all levels in an organization.

Responsibilities

  • Manage the CMO’s complex calendar, travel, and meeting logistics.
  • Prepare agendas, materials, and follow‑up items for internal and external meetings.
  • Handle confidential information with professionalism and discretion.
  • Track key projects and action items, ensuring deadlines are met.
  • Coordinate expense reports and support with contract routing and documentation.
  • Provide coordination support across the marketing department, including events, public relations, content and media.
  • Assist with marketing initiatives such as speaker bureau scheduling and event logistics.
  • Maintain team calendars, project timelines and shared planning documents.
  • Support tracking of key marketing projects, deliverables, and communications.
  • Coordinate external vendor communications and logistics when needed.
  • Assist events team with internal and external event logistics, including scheduling and onsite support.
  • Support culture‑building initiatives and multi‑day team meetings in partnership with marketing and events leadership.
  • Manage event and meeting materials, catering, A/V coordination and space reservations.
  • Track and manage contracts requiring executive review and approval.

Location: It is anticipated that an incumbent in this role will work as a Hybrid employee, with three (3) or more days each week required on‑site at one of the listed office locations. Candidates should be located within a commutable distance to an office. Work location is subject to change based on business needs.

In This Role, You’ll Get To
  • Manage the CMO’s complex calendar, travel, and meeting logistics
  • Prepare agendas, materials, and follow‑up items for internal and external meetings
  • Handle confidential information with professionalism and discretion

  • Support tracking of key marketing projects, deliverables, and communications
  • Coordinate external vendor communications and logistics when needed
  • Assist events team with internal and external event logistics, including scheduling, vendor coordination and onsite support
  • Support culture‑building initiatives and multi‑day team meetings in partnership with marketing and events leadership
  • Manage event and meeting materials, catering, A/V coordination and space reservations
  • Track and manage contracts requiring executive review and approval

Salary Range
