Job description

The Opportunity

Hollinden is looking for a curious, organized, and self-motivated Marketing Assistant to work alongside our Senior Marketing Specialist in supporting a variety of marketing clients.

You'll be involved in the day-to-day work that keeps marketing projects moving, from coordinating client activities and preparing content to managing deadlines, maintaining accurate information, and supporting digital campaigns.

This is a hands‑on opportunity to learn, contribute, and grow. You don't need years of marketing experience, but you do need to be dependable, comfortable with technology, attentive to detail, and willing to take ownership of your work.

We’ll provide guidance and opportunities to learn. You’ll bring initiative, accountability, and a commitment to getting things done.

What You’ll Do

Keep Projects and Clients Moving

  • Coordinate meetings, schedules, action items, and client follow‑ups.
  • Maintain project calendars, task lists, deadlines, and client records.
  • Track outstanding materials and approvals, and flag potential delays early.
  • Help prepare client presentations, reports, and marketing materials.

Support Marketing Campaigns

  • Prepare, format, proofread, and schedule email campaigns, newsletters, and social media content.
  • Make routine website updates using approved content.
  • Check links, images, formatting, and information before publication.
  • Track basic campaign results and organize performance reports.

Keep Information Accurate and Organized

  • Maintain contact databases, correct outdated records, and identify duplicates.
  • Organize digital files, client materials, and marketing assets.
  • Conduct basic research on clients, industries, competitors, and marketing trends.

Make Good Use of Technology

  • Work with Microsoft 365, marketing platforms, and project management tools.
  • Use AI tools to support research, content preparation, organization, and routine tasks while checking work for accuracy.
  • Learn new applications, follow established processes, and suggest better ways to get work done.
What You’ll Bring
  • Strong organizational skills and attention to detail.
  • Clear, professional written and verbal communication.
  • Familiarity with Microsoft Word, Excel, PowerPoint, Outlook, and Teams.
  • Comfort using digital tools, including some experience with AI.
  • Exposure to marketing through coursework, internships, employment, or other experience.
  • Willingness to learn, accept feedback, and work collaboratively.

Experience with email marketing, social media scheduling, website platforms, CRM systems, or Canva is helpful, but not required.

How You Work Matters

We're looking for someone who takes pride in their work and follows through on commitments.

Ownership: You do what you say you’ll do. You meet deadlines and communicate early when something needs attention. Others shouldn’t have to chase you for updates.

Attention to Detail: You care about getting things right. You check your work, catch mistakes, and deliver accurate, complete results.

Initiative: You don’t wait to be reminded of every task. You manage your responsibilities, ask thoughtful questions, and bring possible solutions when challenges arise.

You won’t be expected to know everything on day one. You will be expected to learn, contribute, and become increasingly independent as you gain experience.

What Success Looks Like
  • Assigned work is completed accurately and on time.
  • Client activities, information, and deadlines stay organized and current.
  • Potential problems are identified and communicated before they become bigger problems.
  • The Senior Marketing Specialist can count on you to follow through without constant reminders.
  • You continue developing your skills and taking on greater responsibility.
