Job Summary :

We are seeking a highly organized and proactive Marketing Administrative Assistant to support the successful execution of key initiatives across the Marketing Department. This position reports directly to the Director of Marketing and serves as a functional team member contributing to proposal development, event coordination, rebranding efforts, and marketing operations. The ideal candidate is detail-oriented, adaptable, and capable of managing sensitive information with discretion.

This role requires excellent communication, organizational, and time management skills to track marketing deliverables, support cross-functional initiatives, and maintain internal databases and documentation. A remote work environment is available.

Duties :

  • Contribute to the successful execution of department-wide marketing initiatives and daily operations.
  • Assist with the preparation and development of proposals and qualifications materials.
  • Support trade show and event logistics, including registration, travel accommodations, and promotional materials.
  • Track deadlines for marketing deliverables and coordinate with internal stakeholders to meet deadlines.
  • Assist with implementing the company’s rebranding initiative, ensuring adherence to brand guidelines.
  • Collaborate effectively across multiple departments and teams to support integrated marketing initiatives and ensure alignment on priorities.
  • Maintain and organize marketing files, assets, and project documentation.
  • Manage and update internal marketing databases, ensuring information is clean, current, and organized.
  • Provide administrative support for marketing projects and ongoing directives, including coordination and recordkeeping.
  • Maintain confidentiality and exercise discretion when managing sensitive information, such as financial records, receipts, and corporate data.

Education / Qualifications :

  • Strong attention to detail with the ability to manage multiple priorities and shift tasks as needed.
  • Clear verbal and written communication skills.
  • Ability to work independently while maintaining accountability and communication with the broader team.
  • Proficient in Microsoft Office and Outlook; experience with Adobe Creative Suite (InDesign, Photoshop, Illustrator) is a plus.
  • Demonstrated ability to adapt in a dynamic, fast-paced environment.
  • Experience working with or managing databases is preferred.
