We are seeking a Manager – RCM Systems Administration to lead the functional administration, optimization, and support of our revenue cycle technology environment. This is a highly visible, hands-on role that will work across Revenue Cycle Management, Finance, Operations, IT, Coding, Compliance, and our technology partners.

This is an opportunity to play a key role in building a more standardized, automated, and data-driven revenue cycle organization. The Manager – RCM Systems Administration will have direct influence on how technology supports our employees, physicians, patients, and financial performance as Ascend continues to grow and evolve.

The Opportunity

The Manager – RCM Systems Administration will serve as the primary RCM business administrator for NexTech, MedEvolve, White Plume AI-assisted coding, and other revenue cycle applications.

This individual will be responsible for ensuring our RCM technology is configured effectively, workflows are standardized and efficient, fee schedules and master data are accurate, user access is appropriately controlled, and reporting provides leaders with reliable information to manage performance.

NexTech is Ascend's strategic enterprise practice-management platform. MedEvolve will continue to support legacy revenue cycle activity during the remaining transition period, while White Plume plays an important role in our AI-assisted coding strategy.

The successful candidate will combine strong healthcare revenue cycle knowledge with hands-on systems expertise and an ability to turn operational requirements into practical technology solutions.

What You Will Do

RCM Systems Administration & Optimization

  • Serve as the primary functional RCM administrator for NexTech and assigned revenue cycle applications.
  • Configure, maintain, troubleshoot, and optimize RCM system functionality.
  • Maintain configuration supporting physician practices and ambulatory surgery centers, including entities, locations, providers, payers, plans, departments, work queues, edits, rules, and other RCM master data.
  • Coordinate system changes, testing, validation, release management, and deployment.
  • Troubleshoot revenue cycle system issues, identify root causes, and coordinate corrective action.
  • Maintain configuration documentation and change-control records.
Fee Schedules & Revenue Cycle Master Data
  • Own the loading, maintenance, validation, and governance of fee schedules.
  • Maintain accurate fee schedule assignments across entities, locations, providers, payers, service lines, and other required dimensions.
  • Coordinate updates to CPT, HCPCS, ICD-10, modifiers, charge descriptions, and related billing tables.
  • Establish controls for master-data changes, including approval, testing, documentation, and post-change validation.
  • Conduct periodic audits to identify missing, outdated, duplicated, or incorrectly mapped data.
  • Partner with RCM, Finance, Coding, and payer-contracting teams to resolve configuration issues that could contribute to claim errors, underpayments, patient-balance errors, or revenue leakage.
Workflow & Work Queue Management
  • Design, configure, and optimize RCM workflows, work queues, routing logic, edits, alerts, assignments, and automation.
  • Partner with Front-End and Back-End RCM leaders to translate operational needs into standardized system workflows.
  • Identify opportunities to eliminate manual work, duplicate effort, unnecessary handoffs, and avoidable rework.
  • Standardize workflows across markets and practices while appropriately supporting payer, specialty, facility, and market-specific requirements.
  • Monitor workflow performance to identify bottlenecks, training gaps, configuration issues, and productivity opportunities.
User Administration & Security
  • Manage user provisioning, modifications, deactivation, security roles, profiles, and permissions.
  • Develop standardized role-based access aligned with job responsibilities and segregation-of-duties requirements.
  • Conduct periodic user-access and privileged-access reviews.
  • Ensure access requests and employee terminations are processed accurately and timely.
  • Maintain documentation of access standards, approval requirements, and system administration procedures.
Reporting, Dashboards & Data Validation
  • Develop and maintain RCM dashboards, scorecards, operational reports, and exception reporting.
  • Establish standardized reporting and KPI definitions with RCM leadership.
  • Support reporting across key revenue cycle functions, including:
    • Financial clearance and authorization
    • Coding and charge lag
    • Claims and clean-claim performance
    • Denials
    • A/R aging and collections
    • Payment posting
    • Patient responsibility
    • Work-queue productivity
  • Validate report logic, calculations, filters, and source data to ensure management reporting is reliable and consistent.
  • Automate recurring reporting and reduce reliance on manual spreadsheet-based processes.
  • Develop exception-based reporting that helps leaders identify problems earlier and focus resources where they have the greatest impact.
AI-Assisted Coding & RCM Technology
  • Serve as the primary RCM functional administrator and business liaison for White Plume AI-assisted coding and other assigned RCM technologies.
  • Manage configuration, access, workflow integration, reporting, testing, and adoption.
  • Monitor interfaces and data flows between NexTech, White Plume, MedEvolve, clearinghouses, and other RCM applications.
  • Partner with Coding leadership to optimize AI-assisted coding while maintaining appropriate human review, accuracy, compliance, and accountability.
  • Monitor technology utilization, exceptions, productivity, quality, and operational performance.
  • Support evaluation and implementation of future RCM technologies.
Training, Documentation & Support
  • Develop role-based training, SOPs, job aids, workflow documentation, and system administration guides.
  • Provide initial, refresher, and change-related training.
  • Support super users and serve as an escalation point for complex functional system questions.
  • Identify recurring user errors and determine whether they should be addressed through training, workflow redesign, or configuration changes.
  • Clearly communicate system changes and new functionality to affected stakeholders.
System Transition & Continuous Improvement
  • Support the successful retirement of MedEvolve while maintaining appropriate access to legacy A/R, patient balances, payment activity, reporting, and required historical information.
  • Lead or participate in user acceptance testing for upgrades, interfaces, configuration changes, and new technology.
  • Develop test scripts, document results, identify defects, and validate remediation.
  • Maintain an inventory of RCM systems, interfaces, integrations, vendors, business owners, and dependencies.
  • Maintain and prioritize an RCM system enhancement roadmap based on financial impact, operational benefit, compliance risk, user impact, and implementation effort.
  • Continuously identify opportunities to improve automation, standardization, data quality, productivity, and revenue cycle performance.

Requirements:

What We're Looking For

Required Qualifications
  • Bachelor's degree in Healthcare Administration, Business, Health Information Management, Information Systems, Finance, or a related field; equivalent relevant experience may be considered.
  • Minimum of 5 years of healthcare revenue cycle, practice-management system, or related healthcare technology experience.
  • Strong working knowledge of healthcare revenue cycle operations, including patient access, eligibility, authorization, coding, charge capture, claims, payment posting, denials, A/R, patient responsibility, and reporting.
  • Hands-on experience administering, configuring, supporting, or serving as a power user of a physician practice-management or RCM system.
  • Experience with fee schedules, payer and plan configuration, provider/location setup, billing master data, work queues, and security roles.
  • Experience developing, validating, and maintaining operational reports and dashboards.
  • Experience with system testing, issue resolution, change management, access administration, and end-user training.
  • Strong analytical, problem-solving, organizational, and documentation skills.
  • Ability to translate business and operational requirements into practical system solutions.
  • Strong communication skills and ability to work effectively with both technical and non-technical stakeholders.
Preferred Qualifications
  • Experience with NexTech practice management and/or EHR strongly preferred.
  • Experience with MedEvolve, particularly legacy A/R or system-transition activities.
  • Experience with White Plume or other AI-assisted coding technology.
  • Experience within ophthalmology, ambulatory surgery centers, or a multi-site physician-services organization.
  • Experience with business intelligence tools, advanced Excel, data extracts, SQL, or related reporting technologies.
  • Experience supporting system conversions, acquisitions, practice integrations, or enterprise workflow standardization.

Leadership Expectations

This position may initially have no direct reports; however, the Manager will be expected to lead cross-functional system initiatives, coordinate super users, manage vendor relationships, and provide functional direction to project participants.

Work Expectations

This is primarily an office-based role involving regular computer use and collaboration through telephone, video conference, and in-person meetings. Periodic travel may be required to Ascend markets, physician practices, ambulatory surgery centers, vendor locations, and leadership meetings.

Eligible locations: Florida, Texas, Oklahoma, Washington, D.C., or Illinois.
