OU Health in Oklahoma City is seeking a Manager of Payroll to oversee payroll processes, systems, and staff for a multi-entity hospital system. You will ensure accurate and timely bi-weekly payroll for over 10,000 employees across OU Health entities.

This role requires a Bachelor's in Business with accounting/HR/finance, 5+ years payroll experience, and 3+ years leadership, plus CPP within 12 months. Proficiency in Microsoft Office and payroll systems is essential for success.

Qualifications

  • Education: Bachelor's Degree in Business - accounting, HR, or finance required.
  • Experience: At least 5 years with payroll and at least 3 years of progressive leadership experience.
  • Certification/License: CPP required within 12 months.

Responsibilities

  • Manages day to day activities of OU Health payroll staff.
  • Ensures timely and accurate calculation and payment of bi-weekly system payroll.
  • Maintains accurate employee payroll records including pay rates, pay differentials, bonuses, PTO balances, and deductions.
  • Determines and prepares timely and accurate tax payments per federal and state schedules.
  • Prepares 401K payments to OU Medicine's 401K administrator.
  • Assists with quarterly/annual payroll tax forms (941, W-2/W-3, 940, state forms).
  • Maintains payroll information management system.
  • Oversees timekeeping system maintenance with finance leadership.
  • Oversees pay distribution via direct deposits, pay cards, and checks.
  • Audits timekeeping records and corrects issues with timekeepers and managers.
  • Assists with GL reconciliation related to payroll liabilities and deductions.
  • Responds to employee pay inquiries and payroll analysis requests.
  • Responds to audit inquiries and information requests.
  • Contributes to policies and procedures for timekeeping and payroll.
  • Evaluates processes and tech for accuracy and efficiency.
  • Provides training and development for payroll staff.

Job Description
General Description

Oversees payroll processes, systems, and personnel for a multi-entity hospital system. Responsible for overall accuracy and timeliness of payroll for over 10,000 system employees.

Essential Job Duties

  • Manages day to day activities of OU Health payroll staff.
  • Ensures timely and accurate calculation and payment of bi-weekly system payroll.
  • Maintains accurate employee payroll records including but not limited to: pay rates, pay differentials, incentive/performance bonuses, PTO balances, and miscellaneous deductions.
  • Determines and prepares timely and accurate tax payments in accordance with federal and state deposit schedules.
  • Determines and prepares timely and accurate 401K payments to OU Medicine's 401K administrator.
  • Assists with preparation of quarterly/annual payroll tax forms including 941, W-2/W-3, 940, and state forms.
  • Maintains payroll information management system.
  • Assists financial leadership with maintenance of OUH timekeeping system.
  • Oversees pay distribution via direct deposits, pay cards, and pay checks.
  • Performs audits of department timekeeping records for record compliance; advises timekeepers, managers, and others regarding timekeeping procedures; works with appropriate managers to correct timekeeping issues/problems.
  • Assists finance staff with reconciliation of general ledger accounts including payroll tax liabilities, benefit deductions, and accrued salary expense.
  • Responds to and researches employee pay inquiries.
  • Assists finance staff with ad hoc payroll related financial analysis requests.
  • Responds to audit inquiries and requests for information in a timely manner.
  • Contributes to the development and implementation of new policies or procedures related to timekeeping and overall payroll function.
  • Evaluates processes and technology, recommending solutions for accuracy and efficiency improvements.
  • Provides training and development opportunities for payroll staff.

Minimum Requirements

Education: Bachelor's Degree in Business - accounting, HR, or finance required.

Experience: At least 5 years working with payroll and at least 3 years of progressive leadership experience required.

Certification/License/Registration: CPP required within 12 months.

  • Knowledge of automated timekeeping and payroll systems.
  • Knowledge of payroll tax rules and regulations.
