Event Planning (Remote, Tokyo, Japan, Osaka, Japan)

Position Summary

The Manager, Meetings is responsible for planning, delivering, and ensuring the success of EO meetings and events within the assigned region. The manager will enforce standards, processes, tools, resources, and training to standardize regional event planning and execution. Additionally, the manager will handle translation and interpretation needs for events.

Essential Duties and Responsibilities

  1. Oversee the success and execution of Presidents Meetings, Regional Leadership Summits, Regional Council meetings, and other regional or organizational events.
  2. Collaborate with the regional Director to discuss timing, location, financial contributions, and overall strategy for meetings.
  3. Manage financial aspects of meetings, including hotel contracts, budget approval, and reconciliation.
  4. Coordinate meeting logistics such as venue setup, food and beverage, A/V, and room blocks with contracted hotels.
  5. Arrange off-site social events and transportation, including pre/post tours.
  6. Handle registration tasks, including reporting to stakeholders.
  7. Market meetings internally through updates, newsletters, staff sharing, and promotional activities.
  8. Determine staffing needs and organize travel teams, including registration and travel management for the Executive Team and Board.
  9. Develop post-event reports, including evaluations and lessons learned, and ensure organizational impact is assessed.
  10. Coordinate with translation and interpretation teams for pre-event materials and on-site needs.
  11. Ensure events adhere to best practices and standards outlined by the Director.
  12. Support the Director and other event-related tasks as assigned.

Qualifications, Skills, and Knowledge

  • Fluency in English and Japanese required; Japanese native speaker preferred.
  • Minimum of 5 years’ experience in event program development and execution.
  • Experience working in international, global organizations.
  • Contract compliance and budget management experience.
  • Proficiency in survey creation, data analysis, CRM systems, Microsoft Office, email marketing tools, and basic web content editing.
  • Strong collaboration skills across departments.
  • Exceptional written and oral communication skills.
  • Excellent customer service with attention to detail.
  • Tactful and diplomatic interaction with entrepreneurs.
  • Analytical and problem-solving skills in a fast-paced environment.
  • Preferred: Certified Meeting Planner (CMP), project management training, ability to travel up to 8 times a year.
