Job Summary

The Grant Administration Manager is responsible for supervising a team of grant administrators and other staff assigned to provide pre/post-award research services for Principal Investigators (PIs) and Department Administrators (DAs) within the Mass General Brigham Health Care System. The Grant Administration Manager will proactively address the demands of research grant administration by serving as a leader, mentor, and resource for their staff. The Manager will train and mentor staff, delegate workload as necessary, and hold responsibility for work completed by staff. The Manager is delegated institutional signing authority and will sign off on all work for junior staff.

Essential Functions

  • Supervise, mentor and provide guidance to GA I, GA II and Senior Grants Administrators team members.
  • Manage On-boarding of new hires, annual performance reviews and disciplinary actions as needed.
  • Manage workflow including triage of proposals to other team members effectively balancing workloads.
  • Ensure timely response to PIs and department administrators when questions or concerns are posed.
  • Delegate and supervise work performed by Pre/Post-Award team and evaluate and reassign workload as needed.
  • Review performance data (financial and operations reports) to monitor and measure productivity, goals and activity levels for team.
  • Routine reporting to leadership and timely escalation as needed.
  • Contribute to the development of SOPs, guidelines, training materials and conduct trainings on said materials.
  • Act as project manager on select initiatives and execute according to the approved project plan; maintain status reports on projects and escalate areas needing attention.

Qualifications

DUTIES AND RESPONSIBILITIES

  • Run weekly queries and reports for each workload assignment on the team.
  • Review the results with team members weekly to ensure efficient and effective management of workloads and workflow.
  • Assist and support staff in reviewing the financial and administrative management requirements in federal solicitations and foundation guidance manuals to ensure compliance with institutional and sponsor policies.
  • Guide PIs and Department Administrators in resolving complex issues involving grant regulations and cost allowability.
  • Ensure complete and accurate entry of all pre-award data into InfoEd, as well as the Insight Subcontract deliverables and Renewals deliverables modules.
  • Perform quality control checks by weekly monitoring of electronic files and reports for all staff on the assigned team.
  • Ensure that staff proposal reviews include risk assessments of proposed subcontractors.
  • Additionally, verify as needed, that proposed subcontractor staff are not debarred or suspended from federal funding support.
  • Sign work for junior staff and mentor team members to assist them to earn institutional signing authority for certain pre-award actions.
  • Stay current on applicable Federal regulations, policies, guidelines, latest applications, and amendments and use this knowledge to train and mentor staff on the assigned team.
  • Respond to concerns raised by PIs and department administrators and work with and counsel staff on assigned team as needed to improve customer satisfaction with services offered.
  • Assist with the development and implementation of staff training program for pre-award staff and hospital department administrators.
  • Notify staff of any regulatory or policy changes.
  • Supervise staff, including on-boarding for new hires, annual performance reviews, and disciplinary actions as needed.
  • Managers may carry a small workload in order to keep knowledge current on the various federal and non-federal sponsor regulations. Manager will provide coverage when team members are out of the office.
  • Assume additional responsibilities as assigned.

QUALIFICATIONS

  • 10 or more years of professional grant administration experience in pre-award and/or post-award research administration setting, or 5 or more years supervisory experience in an academic central sponsored research office.
  • Supervisory or management experience required.
  • Must have the ability to manage high volume and complexity.
  • Signature authority will be required.
  • Proven ability to develop and mentor staff, and to create a positive framework for teamwork among all staff.
  • Extensive knowledge of program administration guidelines of federal and non-federal funding agencies supporting biomedical research.
  • Familiarity and experience with all award mechanisms, including grants, contracts, subcontracts, cooperative agreements.
  • Independent judgment, ability to accurately interpret written materials and strong organizational skills.
  • Must be customer service oriented and serve as a role model for staff in providing exemplary service to PIs.
  • Must thrive in a busy, high-volume, and deadline driven work team environment that requires coordination of multiple activities and the judgment and flexibility to reprioritize to accommodate emergency requests.
  • Must be attentive to details and able to prioritize workflow across the team accurately.
  • Must have excellent written and oral communication skills to work effectively and diplomatically with all levels of the hospital, Mass General Brigham System, sponsors and audit agencies.
  • Ability to employ various electronic systems to run queries and reports to measure and manage workflow efficiently.
