POSITION OVERVIEW

The Manager, Executive Office (EO) is charged with managing, monitoring, and supporting a broad set of strategic, organization-wide initiatives that deliver on the overall strategy of Sundance Institute and is a trusted and confidential partner to the Chief of Staff (COS).

Working closely under the direction of the Chief of Staff, the Manager serves as a liaison for the Executive Office. They will work independently on projects and must be able to contribute to informed decision-making, project management, and effective communication, while also being a steadfast resource for the organization and its employees.

This full-time position may work remotely from within any of our operating states, but preference will be given to candidates based in the greater Los Angeles, CA or Boulder, CO areas in order to work onsite as needed throughout the year. Extended hours, including evenings and weekends will be required at key points. Travel to Institute offices and events will also be required on occasion.

Top priorities include but are not limited to…

  • Collaborating with the Chief Executive Officer (CEO), COS, and leadership to establish priorities for the CEO and Executive Office’s time and operationalizing that strategy through schedule, agendas, and deliverables.

  • Partnering with the COS to oversee the CEO’s follow-up and debriefing process, ensuring actionable next steps are communicated and tracked across internal and external stakeholders.

  • Managing and drafting briefing materials on behalf of the Executive Office such as decks, memos, meeting agendas, and scheduling templates and inform protocol for such throughout the organization.

  • Planning, facilitating, and organizing meetings, meeting materials, and other reports for various internal and external stakeholder groups, including staff, partners, and donors.

  • Serving as a project manager on key designated projects for the Executive Office; overseeing all elements of assigned projects and initiatives, including: project plan development, data gathering, analysis, and assessment; tracking milestones and deadlines, and overall project status; facilitating project-related communications; and managing implementation.

  • Supporting implementation of key strategic planning processes across the organization, which includes ideation, scenario design and assessment, generating alignment and buy-in, action planning and execution, and tracking and monitoring.

  • Establish and maintain efficient systems for organizing critical documents, data, and information to support executive decision-making and ensure easy accessibility.

  • Document key processes, institutional knowledge, and executive decisions to ensure consistent operations within the Executive Office and across the organization.

  • Supporting leadership in building relationships crucial to the success of the organization.

  • Collaborating and communicating with employees across departments and external partners, to ensure timely completion of projects, in continued alignment with strategic goals.

  • Evaluating and recommending improvement to processes both for the Executive Office as well as at large for the Institute; research and recommend best practices, provide solutions to address these surfaced opportunities.

  • Planning, editing, writing, and delivering content for a variety of internal communications mediums, such as all staff meetings, CEO newsletter, and CEO correspondence to staff.

  • Reviewing and supporting management of organization-wide communications, including ensuring internal messages are consistent across all mediums and different departments.

  • Monitoring feedback from staff and leaders; bringing that feedback back to the Executive Office for discussion, assessment, and next steps accordingly.

*Final rate of pay is determined based on the applicant's geographic location, relevant experience and skills, and internal equity among similar positions within our organization.
