The Manager, Development & Administrative Services, is responsible for a broad range of complex, confidential and highly visible administrative and operation functions. This role manages day-to-day administrative and operational activities of the Development Department while supporting multiple development initiatives and serving as a key liaison among internal teams, external partners and stakeholders.
Key responsibilities include overseeing complex executive scheduling, coordinating multifaceted domestic and international travel, facilitating departmental communications, implementing process improvements, managing critical deadlines and reporting requirements, supporting the department’s meeting and project cadence, driving follow-through on key priorities and fostering a collaborative high performing team environment.
Your Leadership Lead and oversee the administrative and operational functions of the Development Department, ensuring effective coordination of departmental activities, achievement of departmental objectives, collaboration with cross-functional stakeholders, and serve as the primary point of contact for departmental operational matters.
Coordinate and manage complex executive calendars, including high volume scheduling across multiple stakeholders while overseeing detailed domestic and international travel arrangements involving multi=destination itineraries, changing business requirements and time-sensitive logistical considerations.
Anticipate scheduling conflicts, prioritize competing demands and ensure executives are appropriately prepared for meetings, travel and key engagements.
Coordinate and manage designated development related meetings, property visits and partners’ engagements ensuring seamless logistical execution and alignment with development priorities.
Prepare agendas and supporting materials, coordinate participants and actively monitor travel arrangements, communicate delays or cancellations and resolving issues in real time to ensure seamless logistics.
Provide exceptional support to internal and external stakeholders which may include managing property reservations for development partners.
Manage department communications including compiling and distributing weekly reports and updates as well as the quarterly team newsletter.
Process expense reports for designated executives and maintain oversight of critical deadlines.
Support the administration and tracking of contracts, confidentiality agreements and other departmental documentation, coordinating with Legal, Finance and internal stakeholders as appropriate.
Maintain organized departmental materials, including samples, presentations, reports, agreements, correspondence and other development-related documents.
Identify and implement process improvements, procedures, and best practices that enhance departmental efficiency, effectiveness and operational excellence.
Foster a positive and collaborative team culture through the planning and coordination of team building activities strengthening working relationships and supporting a high performing and inclusive environment.
Demonstrate flexibility and responsiveness to support critical business needs which may occasionally arise outside of regular business hours.

The pay scale for this position is from $100,000.00 to $108,000.00.
