The Manager, Clinic Dental Assistants plays a critical role in optimizing the workflow of dental assistants within the dental school clinics. This role ensures efficient utilization of the dental assisting team, streamlines ordering and inventory management of supplies, and supports clinic operations to enhance student and clinic productivity.

Duties and Responsibilities

1. Team Leadership & Utilization

• Supervise and coordinate the entire dental assisting team to ensure efficient coverage across all clinic areas. This includes predoc and grad clinic dental assistants but excludes faculty practice.
• Cross train dental assistants to allow floating of staff to other MUSoD clinics when needed.
• Develop and implement a scheduling system to assign dental assistants based on clinic needs, student requirements, and faculty supervision.
• Monitor workload distribution and adjust assignments to maintain clinic efficiency.
• Develop, implement, monitor, and maintain Standard Operating Procedures involving clinic workflows. Ensure adequate training and compliance for staff with HIPAA , OSHA , Infection Control, and Risk Management protocols.
• Provide training, mentorship, and professional development opportunities for dental assistants to enhance their skills and efficiency.
• Responsible for the supervision of staff, which includes but is not limited to hiring, terming, disciplinary actions, performance management, staff development, etc.

2. Supply Chain & Inventory Management

• Manage/oversee the ordering, stocking, and distribution of dental supplies to ensure clinics remain well-equipped while minimizing waste and cost.
• In coordination with other staff, implement an inventory tracking system to monitor supply levels and prevent shortages.
• Manage clinic supply vendors by vetting suppliers, providing feedback, ensuring payment of invoices, and receipt of product, and communicate regarding special needs and product availability. Utilize Coupa/MARQetplace to procure clinic supplies and perform other required tasks in accordance with university policies.
• Develop and enforce protocols for proper supply usage and storage to maintain organization and cost efficiency.

3. Operational Efficiency & Compliance

• Collaborate with faculty, students, and clinic leadership to identify areas where dental assistants can be utilized more effectively.
• Work collaboratively with clinic leadership to ensure consistent application of clinic workflows and policies.
• Develop and implement policies and protocols to improve clinic efficiency.
• Act as liaison between dental assistants, faculty, students, and administration to optimize patient care and student learning.
• Attend department meetings and contribute to clinical planning and improvement initiatives.

4. Student Training

• Participate in development and delivery of curriculum regarding four-handed dentistry and other training/remediation for predoc students as needed.
• Coordinate externships for the Dental Assistant Programs at three local technical colleges ( MATC , WCTC , Gateway).

5. Fiscal Responsibilities

• Responsible for fiscal responsibilities that include but are not limited to P-card, review of financial reports, reconciling fiscal activity, financial report reviews, and manage budget for area of responsibility.
• Assist with leveraging discretion to meet financial goals within the department.

Required Knowledge, Skills and Abilities

High school diploma

Health Care provider CPR certification

Minimum of 4 years of dental assisting experience preferably in an educational or large clinic setting

Knowledge of dental terminology and anatomy, dental procedures, 4-handed dentistry, instrumentation, dental supplies, x-ray technology and procedures, sterilization procedures, patient management techniques, and infection control protocols

Excellent listening, written and verbal communication skills

Ability to work and communicate with people from diverse populations

Ability to maintain confidentiality

Ability to work independently with little supervision and regular interruptions

Microsoft Office proficiency

Previous management experience

Preferred Knowledge, Skills and Abilities

Associate’s or vocational/ technical school degree preferably in Business or Dental Hygiene/ Dental Assisting

Prior experience with medical/dental practice management software

Previous experience in an academic environment

Previous experience working with multiple dental specialties

Familiarity with axiUm clinic information management system
