Job summary

Hawaii Community Foundation is hiring a Manager for Business Systems & Data Solutions in Honolulu, HI. This full-time technical/professional role owns and optimizes Sage Intacct, Salesforce, and the donor portal, ensuring data integrity and strong cross-system collaboration.

The role manages access, configurations, and reporting while partnering with Finance, Grants, and ISG. Strong knowledge of accounting and cloud integrations is essential; Salesforce experience and Sage Intacct familiarity

Qualifications

  • Bachelor’s degree or equivalent in IT, CS, or related discipline or 5+ years administering, supporting, implementing, or managing business applications.
  • Knowledge of accounting concepts, GL, AP, journals, reconciliations and financial reporting is a plus.
  • Hands-on experience with Sage Intacct and Salesforce is strongly preferred. Salesforce Administrator certification is a plus.

Responsibilities

  • Own day-to-day administration, support, data integrity, and continuous improvement for core business applications and cross-system data flows, focusing on Sage Intacct, Salesforce, and donor portal/Salesforce Experience Cloud.
  • Manage user access, roles, permissions, approval workflows, and configuration changes.
  • Coordinate with Finance, ISG, and external partners to ensure accurate donor visibility, fund balances, and portal content.
  • Monitor data flows across systems, maintain data quality and reconciliation checks, and support reporting needs.
  • Lead requirements translation, workflows, testing plans, training materials, and sustainable configuration changes.

Position Summary

Like all HCF team members and volunteers, the Business Systems and Data Solutions Manager exudes the heart and passion for HCF’s mission: to inspire the spirit of giving and invest in people and solutions to benefit our community. Specifically, the role owns day-to-day administration, support, data integrity, and continuous improvement for HCF’s core business applications and cross-system data flows, with initial focus on Sage Intacct, Salesforce, the donor portal/Salesforce Experience Cloud, and related integrations.

Responsibilities are organized into five areas, with ownership noted where the role leads directly or partners with other teams.

Application Ownership and Support

  • Serve as the primary business application owner for Sage Intacct, Salesforce, the donor portal (Salesforce Experience Cloud), related integrations, and associated workflows.
  • Administer user access, roles, permissions, approval workflows, configuration settings, fields, layouts, validation rules, dashboards, reports, and routine configuration changes.
  • Manage issue intake, troubleshooting, enhancement requests, release testing, change communications, user documentation, and escalations to HCF’s Information Solutions Group (ISG), cloud providers, or implementation partners.

Finance Systems and Accounting Operations

  • Support Sage Intacct administration for financial reporting, fund accounting, dimensions, restrictions, account groups, dashboards, accounts payable (AP) workflows, allocations, administrative fees, spending-policy support, cash movement, and reconciliation workflows.
  • Partner with the Finance Department to maintain business rules for funds, restrictions, available-to-spend balances, investment activity, grants, payments, administrative fees, payroll allocations, and reconciliations.
  • Use working knowledge of accounting, including debits and credits, journal entries, AP, reconciliations, financial reporting, and fund-accounting impacts, to evaluate system behavior and troubleshoot issues.
  • Help reduce spreadsheet-based workarounds by moving repeatable processes into controlled application workflows where practical.

Salesforce, Donor Portal, and Constituent-Facing Systems

  • Support Salesforce as the staff-facing view of fund, donor, gift, grant, balance, and related activity, and support the donor portal as HCF's donor-facing digital experience.
  • Maintain Salesforce fields, layouts, reports, dashboards, validation rules, light automation, user access, portal content, and issue resolution.
  • Coordinate with Finance, Development, Grants, Scholarships, ISG Departments, cloud providers, and external partners to maintain accurate donor visibility, fund balances, grant status, privacy rules, and portal content.
  • Determine whether needs can be resolved through internal configuration or require ISG, developer, cloud provider, or implementation-partner support.

Integrations, Data Governance and Reporting

  • Partner with ISG and cloud providers to monitor and troubleshoot data flows across core systems, including Sage Intacct, Salesforce, RENXT, SmartSimple, NextGen, ADP, Blackbaud Merchant Services, merchant-services files, bank files, reporting tools, and other connected systems.
  • Own reconciliation checks, exception reports, integration-monitoring routines, and data-quality controls that support staff confidence in system information.
  • Clarify source-of-truth ownership for master data, report logic, business rules, and cross-system dependencies.
  • Support reporting needs by improving data quality, documenting report definitions, and helping users understand which system is authoritative for each type of information.
Business Process Improvement, Controls, and Change Management
  • Lead the translation of operational pain points into requirements, future-state workflows, testing plans, training materials, and sustainable configuration changes.
  • Support controls, segregation of duties, user provisioning and deprovisioning, audit trails, change-control discipline, and documentation.
  • Coordinate future-phase opportunities, if pursued, such as budgeting and planning, workflow automation, expense management, lending management, document generation, business intelligence, or a data warehouse/data lake.
  • Promote practical adoption while avoiding overengineering or unnecessary customization.

Other Responsibilities

  • Participates in relevant technical online forums, user groups and other professional/technical learning opportunities to support work effectiveness & provide appropriate HCF representation.
  • Serve as a knowledgeable and collaborative representative of HCF in the community.
  • Partner collaboratively with other staff members to ensure effective outcomes.
  • Perform other tasks as assigned.

Position Requirements

HCF believes in ensuring that our team members are capable of thriving in their positions. Accordingly, the Business Systems and Data Solutions Manager must possess the following knowledge, skills, abilities, experience, and education:

Education and Certification / Experience Required

  • Bachelor’s degree in Information Technology, Computer Science, or a related discipline OR minimum of five or more years of experience administering, supporting, implementing, or managing business applications in finance, accounting, nonprofit operations, grantmaking, philanthropy, professional services, or a comparable environment.
  • Working knowledge of accounting operations, including the general ledger, journal entries, accounts payable, reconciliations, financial reporting, debits and credits, and the practical meaning of accounting data.

Technical Expertise Required:

  • Ability to gather requirements, map business processes, test system changes, support users, document procedures, and coordinate with HCF's IT department, cloud providers, and implementation or support partners.
  • Strong knowledge and experience on data integrity, system controls, user access, workflow design, provider escalation, and configuration tradeoffs.
  • Clear communicator who can work effectively with Finance, Development, Grants, Scholarships, HCF's IT department, leadership, cloud providers, implementation partners, and nontechnical users.

Technical Expertise Preferred:

  • Hands-on experience administering or supporting Sage Intacct, Salesforce, or comparable ERP / CRM platforms; direct experience with both Sage Intacct and Salesforce is strongly preferred. Salesforce Administrator certification a plus.

Professional & Soft Skills Required:

  • Demonstrated passion for the betterment of Hawaii and its people.

  • Ability to be extremely discrete in working with sensitive or confidential information related to client and donor information, relationships, and funds.
  • Ability to manage time effectively and meet multiple deadlines; performing work with attention to detail and accuracy.Proficient skills in Microsoft Word, Excel, Outlook, and PowerPoint.

Work Environment, Physical, and Mental Demands

  • Works under regular office conditions with the ability to work remotely.
  • General office hours are Monday through Friday, 8:00 am to 5:00 pm, with flexible hours as needed to handle priority items.
  • Required to travel as needed.
  • Ability to operate general office equipment including computer, copier, printers, fax machine, etc.
  • Ability to lift, carry, push, pull, up to 25 lbs. of general office material or equipment.
