Job summary

Front Office (6 months)
  • Work with the Concierge, PBX, Bell & Door staff, Lobby Ambassador, and other front desk personnel.
  • Assist the Duty Manager in daily Front Desk operations and ensure smooth communications.
  • Act as main contact for guests and other departments in the Duty Manager’s absence.
  • Ensure efficient guest check‑in/check‑out and resolve guest complaints promptly.
  • Train and guide new hires at the Front Desk and PBX.
  • Assist the Front Office Manager with projects such as payroll, valet parking, scheduling, recruitment, and training.
  • Review arrivals/departure reports and manage VIP and special requests.
  • Communicate with related departments to maximize guest satisfaction.
  • Relate pertinent information to fellow management trainees and shift team members.
Reservations (3 months)
  • Work alongside the Reservations Manager to improve reservations and revenue management skills.
  • Answer reservation calls and maintain telephone etiquette.
  • Follow reservation procedures and group booking processes.
  • Apply credit policies, room forecasts, and yield‑management strategies.
  • Handle travel agent bookings, revenue reporting, transient sales, and room allocation.
  • Employ selling and negotiation techniques.
Housekeeping (3 months)
  • Work alongside the Executive Housekeeper to manage inventory, supplies, uniforms, linens, and public‑space items.
  • Assist with inspection procedures, scheduling, staffing, safety, and emergency protocols.
  • Coordinate with the front desk on occupancy lists and guest complaint handling.
  • Participate in special projects such as laundry room organization, housemen training, and housekeeping staff line‑up.
  • Train, coach, and counsel housekeeping employees.
  • Facilitate hiring, interviewing, training, and performance evaluations.
  • Conduct room inspections and provide feedback to room attendants.
  • Manage administrative duties including payroll, operating expenses, and staffing adjustments.
  • Supervise room attendants and general cleaning staff, addressing any performance issues.
Qualifications
  • College degree or equivalent required.
  • Previous front office experience in a luxury property preferred.
  • Previous customer service and general computer experience required.
  • Experience with property‑management software preferred.
  • Ability to perform all essential duties to a satisfactory standard.
Basic Expectations

Perform all duties in accordance with the Hay‑Adams handbook, the department operating manual, and all hotel policies and procedures.

Language Skills

Excellent knowledge of the English language is mandatory. Must be able to speak, read, and write clearly. Second language preferred.

Mathematical Skills

Must be able to perform basic arithmetic with six‑digit numbers, calculate percentages and discounts, and understand financial documents, daily reports, P&L accounts, and budgets.

Reasoning Ability

Ability to follow detailed instructions verbally and in writing, exercise common sense, handle problems calmly and professionally, multitask in a busy environment, and prioritize and resolve issues satisfactorily.

Physical Ability

Ability to stand in a confined environment, use a computer screen for long periods, walk, sit, stand, and crouch while performing duties. Must be able to lift bags up to 50 lbs and work well under pressure, including emergency situations.

Standards of Conduct

Uphold the highest ethical standards as outlined in the employee handbook and manuals. Demonstrate professionalism and care in all interactions with guests and colleagues.
