Overview
The primary role of the Maintenance Senior Planner is to improve workforce productivity and work quality through prevention of potential delays and obstacles via proper planning and coordination of parts, machine time, and labor. The Senior Planner is responsible for the planning of all maintenance work performed in the assigned area and oversees, coaches, and develops other planners.
He/she is the primary liaison between the operations and maintenance organizations concerning planned work, both during runtime and scheduled downtime, and ensures appropriate files, records, and data are produced for meaningful analysis and reporting.
Detailed Roles & Responsibilities
- Principal contact between the Maintenance department and the operations teams (refinery and packaging)
- Works with other planners, coaching, evaluating, and addressing performance issues and conflicts to improve overall team performance
- Assures work requested is needed and prioritized based on business risk
- Ensures safety needs are given a top priority in work planning
- Recommends equipment to be included in preventive maintenance programs
- Leads weekly meetings with Operations and Maintenance to discuss short‑term and long‑term maintenance needs
- Receives approved work requests from requesting departments
- Reviews and screens work requests for clarity; discusses details with the requestor as appropriate
- Examines requests and determines best way to accomplish the work; consults with requester, Maintenance Supervisor, Engineering or functional crews when necessary
- Obtains blueprints, drawings, instructional manuals and special procedures; makes additional sketches or diagrams to clarify intent
- Arranges safety permits, hot work, confined space, etc. as part of a work package
- Estimates jobs by sequencing steps, determining number of tradespersons and required labor hours for each step
- Identifies and obtains determinable materials and critical items, entering material needs on the work order
- Verifies availability of parts, materials and special tools before scheduling
- Coordinates requisition of all predetermined parts, materials and special tools, and prepares complete kits
- Assembles work package documentation and delivers to area maintenance supervisors
- Reviews KPI’s for planners, creates action plans and develops processes for continuous improvement
- Maintains backlog files of work orders waiting on planning and/or scheduling in accordance with priorities and estimated completion dates
- Ensures completed schedules and work orders are returned and reviewed timely; monitors progress, compliance, and schedule; evaluates performance metrics and develops action plans; provides documents for reporting and closeout
- Develops file of standard job plans for regularly recurring repair jobs (reference)
- Reviews actual labor expended and material consumed versus estimates, provides variance reports to stakeholders
Work Experiences
- 3+ years of maintenance planning and scheduling preferred
- Previous experience within a manufacturing environment with multiple crafts (mechanical, electrical, etc.) required
- Maintenance scheduling, planning and use of CMMS or ERP required
Education Requirements
- High school diploma or GED required
- BS/BA degree in a related field from an accredited institution preferred
Supervisory Responsibility
Effective leader of internal facilitation of planning and scheduling maintenance activities and coordinating contractor service efforts for planned activities.

Salary Pay Range
$62,500 – $115,000 plus bonus
The pay rate for the successful candidate will depend on the candidate’s qualifications and prior experience.
