The Maintenance Clerk/Purchasing Administrator is responsible for managing all purchasing activities within the maintenance department, including issuing purchase orders, negotiating prices, and ensuring compliance with accounting standards. This role involves executing both scheduled and unscheduled work orders, coordinating departmental materials and resources, and interacting with other departments to facilitate team planning and scheduling. The position requires maintaining high-performance standards through positive actions and attitudes, ensuring products are produced on time, within specifications, and at minimal cost. Key responsibilities include physical material movement and tracking, documentation management, inventory metrics and reporting, receiving, customer service, and managing maintenance stores, all while adhering to World Class Principles.

Responsibilities:
  • Maintain service level established by management in terms of spare part service level, inventory turns, inventory accuracy, and other departmental goals.
  • Develop action plans and timelines to achieve management's goals and track progress regularly.
  • Utilize the Computerized Maintenance Management System SAP comprehensively to resolve inventory issues, reduce costs, increase machine uptime and reliability, and provide management and staff with necessary information.
  • Assist Maintenance Manager and Planner Coordinator in establishing and maintaining policies and procedures for the stock room, in line with manufacturing standards.
  • Procure necessary spare parts for new equipment installations as designated by Maintenance Supervisors.
  • Support corporate and plant initiatives. Receive, categorize, stock, and adjust inventory for maintenance items.
  • Contribute to annual budget planning related to safety and maintenance of facilities, grounds, and equipment.
  • Provide timely reports to management, including weekly and monthly status reports on Purchasing, Inventory, and Budget, with clear reasons for nonstandard spend.
  • Represent the company's interests with outside contractors and vendors.
  • Order and maintain supplies, and coordinate office maintenance equipment.
  • Generate and maintain documentation for capital projects.
Job Requirements:
  • High school diploma or GED required.
  • 5+ years' experience in a food manufacturing environment preferred.
  • Ability to interpret safety rules, operating instructions, and manuals.
  • Effective report writing and communication skills.
  • Strong knowledge of SAP, MS Access, Excel, Word, and Crystal Reports.
