General Summary: The Maintenance & Construction AdministrativeAssistant will support the Maintenance and Capital Projects teams, as well asthe COO, with regular administrative functions. This can include, but is notlimited to, scheduling, billing support, note-taking, inventory, and more. Thehybrid role is limited to sixteen hours per week, unless otherwise agreed upon.
Additionally, the Maintenance & Construction Administrative Assistantwill support the Zoo’s mission to save wildlife and protect wild places andcontribute to its environmental, social, governance sustainability,conservation, education, and DEAI (Diversity, Equity, Accessibility, andInclusion) goals.
Essential Functions:
Primary Functions:
- Responsible for scheduling
- Responsible for processing invoices and creditcard statements
- Responsible for taking notes in meetings andproviding meeting summaries to the team following each meeting.
- Responsible for the organization of andmanagement of files within the Zoo’s Google Drive
- Support the Maintenance team in establishing andmaintaining PM systems & inventories
- Support the Capital Projects team in digitizingdrawings and paper files
- Responsible for small project management, asdirected
Minimum Qualifications
Education:
- High school diploma or equivalent.
Experience/Training:
- Three to five years of administrative experiencein maintenance or related field;
- Experience creating and managing spreadsheets
- Knowledge and experience with Google Workspace
- Valid driver’s license preferred.

Equipment:
- Must be able to operate a variety of machines andequipment including computer, copier/printer, telephone, radio, golf cart, andvehicles, etc.
Working Conditions:
- Must be able to exert up to 25 pounds of forceoccasionally, 35 pounds frequently and/or a negligible amount of forcefrequently or constantly to lift, carry, push, pull or otherwise moveobjects. Physical demands are in excess ofthose for sedentary work; must be able to remain on feet for periods of time,stoop, kneel, crouch, crawl, push, pull, climb, balance;
- Must be able to travel large areas of the Zoo asneeded;
- Must be able to work in an outdoor weatherenvironment in all seasons and weather, including heat/humidity, coldtemperatures, and/or wet conditions;
- Exposure to potential environmental hazards suchas poison oak/ivy, uneven terrain, insect bites/stings, and Hepatitis Bdepending on the position.
- Ability to work a flexible schedule to includeweekends, holidays, and special events; and,
- Exposure to zoonotic diseases and risk of animalattack.
