The Mail Room/Workplace Coordinator ensures efficient and organized mail operations and supports various facility-related tasks. This position involves overseeing the day-to-day operations of the mail room, managing incoming and outgoing mail, coordinating facility maintenance activities, and providing excellent customer service to internal employees and external stakeholders. The Mail Room/Facilities Coordinator maintains a safe and functional workspace environment while effectively managing mail distribution and other related administrative tasks.

Key Responsibilities:

Mail Management:

  • Receive, sort, and distribute incoming mail and packages to the appropriate recipients or departments.
  • Prepare outgoing mail and packages for shipment, including arranging couriers and coordinating mail delivery services.
  • Maintain accurate records of incoming and outgoing mail, tracking packages and ensuring timely delivery.

Facility Coordination:

  • Manage office facilities, including maintenance, warranties, repairs, and renovations
  • Coordinate with vendors and service providers for office supplies, equipment, and services (soft and hard)
  • Oversee office space planning and allocation.
  • Support and coordinate meeting and events coordination with internal and external visitors.
  • Maintain inventory of office supplies and equipment
  • Assist with onboarding new employees and managing workplace technology
  • Ensure compliance with health and safety regulations
  • Handle employee inquiries and requests related to workplace matters
  • Implement and maintain office policies and procedures
  • Manage mail and courier services
  • Assist with budget preparation and expense tracking for office-related items

Requirements:

  • Bachelor's degree in Business Administration, hospitality management, Facility Management
  • Minimum B2 English Level
  • 3-5 years of experience in workplaces management or similar role
  • Strong organizational and multitasking skills
  • Excellent communication and interpersonal skills
  • Advanced in Microsoft Office
  • Suite Knowledge of office management systems and procedures
  • Problem-solving and decision-making abilities
  • Ability to work independently and as part of a team
  • Attention to detail and accuracy

Preferred Qualifications:

  • Experience with facilities management software as Corrigo
  • Knowledge of health and safety regulations
  • Project management skills
  • Scrum Agile Certification is a plus
  • Familiarity with procurement processes
